Pay Grade 17 - $29.13 to $34.23 per hour

Responsible for the organization and maintenance of all Vancouver Police Department (VPD) archived operational and administrative records.
ESSENTIAL DUTIES
- Organizes and maintains all VPD archived operational and administrative records
- Maintains a computerized records management database using Wisetrack, Excel, and a barcoding system
- Provides assistance to other VPD units and sections with the preparation of their hardcopy files for storage
- Assists with the classification of administrative files using the VanRIMS classification system
- Oversees destruction of administrative documents as per retention schedule
- Researches historic information for internal requests
- Locates and prints historic microfilm reports on request
- Files, scans, and photocopies documents as required
- Coordinates the shipping and receiving of documents between police buildings
- Liaises with the duty driver for pickup and dropoff of archival boxes
- Participates in the annual mandatory high stress debrief program
- Performs other related duties and responsibilities as assigned
KNOWLEDGE, SKILLS, AND ABILITIES
Required:
- Working knowledge of PRIME/Versadex
- Thorough knowledge of Outlook, Word, and Excel
- Knowledge of automated records management, record retention, and disposal practices
- Knowledge of the VPD organizational structure
- Ability to multitask
- Good organizational skills
- Ability to communicate effectively, both verbally and written, with VPD personnel at all levels and with outside police agencies
- Ability to maintain effective working relationships in a team environment
- Ability to work independently or in a team
- Ability to provide excellent customer service
- Ability to work accurately with constant interruptions
- Ability to utilize independent decision making skills
Preferred:
- Proficiency in researching records on Wisetrack and microfilm
- Knowledge of the VanRIMS classification system
- Previous experience working with archival and records management systems
EXPERIENCE
Required:
- Minimum two years of recent and related experience with an automated records management system or an equivalent combination of education, training, and experience
Preferred:
- Minimum of two years working in a police environment
EDUCATION
Required:
- Grade 12
Preferred:
- Completion of a records management certificate and/or a related file management course.
OTHER REQUIREMENTS
- Ability to lift and move heavy file boxes in a large warehouse
- Valid Class 5 BC Driver's licence
- All employees must maintain their enhanced security clearance while employed with the Vancouver Police Department, which will be renewed every five years or as required
SELECTION PROCESS
Short-listed applicants must pass standard clerical testing prior to moving on to the interview stage
