The Office of the Chief Electoral Officer, Modernization division, seeks a highly motivated and organized individual to assist in coordinating the mobilization and delivery of a wide range of innovation projects.

In this position, you will be responsible for working with interdisciplinary project teams, business units and other stakeholders to improve efficiencies in business processes, identify and propose strategies for innovation and modernization, and monitor and/or lead projects that fall within Modernization's portfolio.


What to expect in this role
Reporting to the Manager, Process & Service Design you will:

  • Conduct primary and secondary research regarding stakeholder experiences and challenges with the existing model and processes. Summarize and present findings.
  • Coordinate and assist with the facilitation of workshops, multistakeholder meetings, and researchfocused groups.
  • Assist the department in the planning, development, administration, and delivery of a series of activities to be conducted at various workshops or debriefs with various stakeholders according to established structures and standards.
  • Champion design thinking initiatives across departments, encouraging a culture of creativity, empathy, and usercentric problemsolving.
  • Stay updated on design thinking trends, methodologies and best practices. Encourage continuous learning and improvement within the organization.
  • Assist in the research, review, monitoring and evaluation of new processes, tools, tactics, best practices, and technology to conduct effective and efficient debriefs.
  • Build and maintain effective working relationships and partnerships with stakeholders to identify needs, solicit input, obtain support and participation, and promote program/project objectives.
  • Analyze data and work with the crossfunctional working groups to identify areas of opportunity for improvement. Present and propose options and recommendations and assist in the development of business cases including reports, presentations, and visual diagrams such as process maps, and use case diagrams.
  • Document project plans and priorities from conception to completion, and assist with the monitoring of budget, timelines, and project risks, recommending mitigation strategies and developing contingency plans.
  • Monitor project team activity, provide guidance and leadership to assigned project team members, and coordinate staff participation in projects to ensure timelines are met.
  • Represent the cluster and lead and/or participate on committees, task forces and working groups.
  • Prepare summary reports of a confidential nature, as informed by the findings of the stakeholder debriefs and workshops.
  • Assist in the discovery of new technologies and best practices that foster continuous improvements to support the next general election.

What you need to qualify

  • Highly developed analytical and problemsolving skills.
  • Highly developed communication skills including workshop facilitation and storytelling skills.
  • Highly developed relationship management skills, exercising tact.
  • Demonstrated organizational and planning skills.
  • Developed creativity, ingenuity, and a passion for identifying actionable opportunities for innovation in developing and delivering programs and services.
  • Provide daytoday guidance and leadership to support staff and assigned project teams. Coordinate staff participation in projects.
  • Demonstrated knowledge of research and data analysis methods, practices, techniques, and protocols.
  • Demonstrated visual communications skills using virtual whiteboards & PowerPoint. Experience using task management software tools.
  • Knowledge and understanding of Election Ontario's business and electoral event delivery operations and activities, policies, procedures, legislation, and regulations is an asset.
  • Must be legally entitled to work in Canada.
