    Position description

    Reporting to the Manager of Campus Services, the incumbent will provide leadership to Campus Services employees. They will equip and empower employees to maintain services as assigned in university buildings and on university grounds and provide essential services during winter weather events. They will train and develop employees to provide service levels and maintain safe working practices and documentation consistent with Facilities Management requirements and customer expectations.

    The Campus Services department offers custodial, grounds services to Mount Allison University. As the University houses students and guests 24 hours per day, Department representatives may be required to provide service accordingly, 24 hours per day, 7 days per week.

    Position Responsibilities

    • Provide leadership which promotes a culture that encourages top performance and maintains employee engagement.
    • Identify and address risks and opportunities for the University in area of responsibility.
    • Lead change initiatives with the support of the Manager of Campus Services and regularly adjust change management plans as required.
    • Assist in the development of strategic plans for operational activity. Implement and manage operational plans.
    • Develop, implement, and review custodial and grounds operational processes, policies, and maintain awareness of latest work methods, products, and systems, and develop and implement a plan for long-term equipment maintenance and needs.
    • Assist with recruiting and make hiring recommendations.
    • Plan, schedule, assign, and supervise the work of custodians and grounds crew working on campus, including housecleaning and floor care, landscaping and maintaining campus grounds and hard landscape elements, and providing essential services during winter weather events.
    • Inspect, monitor, and report on work quality, efficiency, and productivity to ensure that deficiencies are corrected, and customer expectations and Facilities Management and continuous improvement requirements are met.
    • Train or inform employees of new work methods or procedures, changes in safety regulations and work policies.
    • Hold regular individual and team check-ins and meetings for alignment on requirements and to foster employee input on improved work practices.
    • Motivate and coach employees on job related matters and prepare and conduct counseling and performance assessments.
    • Document and promote safe work practices and enforce safety regulations and adherence to proper codes and standards. Conduct inspections and accident & incident investigations and help maintain the material safety data sheets inventory for the Campus Services Departments. Guide employees in the preparation of WCB forms.
    • Observe and report, through the work order system, all defects, deterioration, and wear and tear on the facilities and grounds equipment. Provide inventory control of supplies.
    • Maintain time, payroll, material, and cost recovery-related records, and submit reports.
    • Manage custodial procurement requirements for materials, supplies, and equipment.
    • Monitor weather on a regular basis to ensure readiness for storm events. During weather events, inspect and monitor campus conditions to ensure facilities can be safely accessed. Provide advice regarding campus conditions to Manager of Campus Services during storms.
    • Perform other duties as assigned by the Manager of Campus Services.

    Qualifications/skills

    Interaction:

    The incumbent interacts on a daily basis with their manager, suppliers and the University administration, faculty, and staff regarding the provision of Custodial and Grounds services and the coordination of work, and occasionally with students, consultants, and contractors. The incumbent participates on committees and in meetings as required. They also provide guidance and advice on custodial/grounds-related matters to their Manager and other tradespersons, supervisors, and managers of Facilities Management and Administrative Services. At times, the incumbent is exposed to sensitive information and must adhere to Facility Management policies on information release.

    Knowledge:

    The incumbent must possess a thorough knowledge of change management principles, organizational management principles, supervisory principles, practices, and techniques and of the standard practices and methods of the custodial trade. They must have a sound knowledge of tools, equipment, and materials common to the custodial and grounds trades. Considerable knowledge of safety precautions, recordkeeping, and computer operation is essential. Working knowledge of spreadsheets (Excel), word processing (Microsoft Word) and e-mail (Outlook) software is necessary.

    Abilities:

    The incumbent must possess the people skills, change management skills, and professionalism required to perform at a high level in a very demanding workload situation. They must have a high degree of tact and diplomacy when dealing with employees and the University community under a variety of difficult situations and be sensitive toward the cultural diversity of the campus community.
    They must have the ability to demonstrate good judgment and skill in the planning, organizing, controlling, and directing of all aspects of the overall custodial and grounds related functions on campus. They must demonstrate a positive can-do attitude and view challenges as opportunities to improve.

    They must have the ability to communicate effectively both orally and in writing and to assist in providing general information to the university community and visitors. They must be able to follow oral and written instructions and to express ideas effectively and concisely. They must be able to engage, motivate and coach employees.

    Minimum Qualifications

    1. Valid provincial driver's license.
    2. High School Diploma or equivalent GED certificate. Bachelor's degree preferred.
    3. A Landscape Horticulturist Red Seal certification, or a recognized Diploma in the field of Horticulture would be an asset.
    4. Minimum of five (5) years of supervisory experience, with preference given to experience in the custodial care and maintenance of facilities, grounds maintenance or in customer service
    5. Must live within 30 minutes' drive to campus and be available on campus in the event of emergencies, weather events or when needed to meet the ongoing University mission.
