Position Detail:

We are looking for a PART-TIME Administrative Assistant, 20 hours per week.

This position is hybrid and will require up to 2 days per week in our Oshawa office with the remainder as remote.


The Administrative Assistant reports to the VP & GM Canadian Operations and is responsible for providing administrative support to the operations team, area managers, regulatory & stakeholder relations and technical employees.

Ensures organizational effectiveness and takes initiative to guarantee the most efficient processes and workflows to support a highly functioning team.

Approaches work with creativity, diligence and a positive problem-solving mindset.


Key Responsibilities Include, But Are Not Limited To:

  • Manage and respond to the operational needs of the Ontario plant group, ensuring that the plant administrative office operates efficiently and follows standard office practices;
  • Support the team with administrative duties such as gathering data, providing documentation, generating and analyzing reports;
  • Direct employees and visitors via telephone and in person;
  • Acquire and maintain working knowledge of site procedures, office administrative practices, and facility technical terminology;
  • Ensures integrity of files and databases, responsible for maintaining the operation's group administrative and technical filing systems;
  • Coordinate with the Corporate Executive Assistant on events and company meetings for the Oshawa office and Ontario facilities;
  • Coordinate service requirements for the Oshawa office facility;
  • Carries out other duties and responsibilities as assigned;
  • Complies with all FirstLight policies and procedures.

Job Qualifications / Skills:


  • Diploma in office management, accounting or similar is preferred; high school diploma or equivalent required;
  • 5+ years' experience in an office management role preferred;
  • Proficient in MS Office Suite (Outlook, Excel, Word, PowerPoint, etc);
  • Bilingual: French/English required
  • Natural leader who easily takes initiative and enjoys managing tasks and projects to meet or exceed deadlines;
  • Strong sense of integrity and ability to work independently;
  • Must be highly organized and approach their work with creativity, diligence and a positive problemsolving mindset;
  • Strong multitasker with an excellent attention to detail;
  • Experience with Maximo and/or other document management software is preferred;
  • Superior written and verbal communication skills.
