Position
Summary:


Reporting to the Manager, Operations and International Student Success, the incumbent is responsible for the coordination of overall day-to-day business operations for the Student Services department.

The Supervisor is responsible for managing, organizing, and coordinating operations, systems, immigration support and procedures to ensure organizational effectiveness and efficiency.

The incumbent will provide immigration advisement to students on matters related to their immigration status in Canada across all campuses and virtually.


Responsibilities:


Immigration Advisement, Activities and Documentation Support:

  • Acts as a first point of contact in attending time-sensitive or complex cases and requests involving international students' immigration status, escalated from various stakeholders.
  • Assists in reviewing, implementing, and overseeing policies, procedures, and operations related to immigration matters.
  • Supports with design, content materials and set up of workshops/information session delivered to international students.
  • Liaises with Immigration officials within the boundaries of the Freedom of Information and Protection of Privacy Act.
  • Liaises with academic and service areas, students, counselors, and other departments regarding immigration regulations for international students.

System and Operational Management:


  • Provides leadership and direction to ensure effective online systems within Student Services including housing providers, lockers, peer mentoring, transportation, leave of absence, service queues, and other international student processes.
  • Responds to inquiries on a range of routine issues concerning Seneca policies, operating procedures, services, and IRCC policies.
  • Develops standard operating procedures and implements a variety of procedures to ensure consistency and accountability.

Administer Human Resources Processes and Communication:

  • Leads hiring and training, supervises, assigns, and coordinates the work and schedules of full-time/part-time student staff reporting to this position.
  • Adheres to Seneca's collective agreements and HR policies and procedures.
  • Coordinates training requirements and opportunities within the department.
  • Facilitates communication of routine information to direct reports.
  • Liaises with other Seneca services areas to provide information, respond to queries, coordinate work/priorities, plan, problemsolve, and work on projects or shared initiatives.

Qualifications:


Education:


  • Minimum three (3) year diploma or degree in Business, Office/Public Administration, Human Resources, or a related field. If education is in a related field, please state how it is relevant.
  • Current and active Regulated International Student Immigration Advisor (RISIA) or Regulated Canadian Immigration Consultant (RCIC).

Experience:


  • Minimum three (3) years' progressive administrative supervisory support experience is required in which two (2) are working in a unionized environment.
  • Experience servicing international students with strong knowledge of Canadian immigration legislation, policies, and regulations.
  • Experience in the development, management, and continuous improvement of business processes.

Skills:


  • Excellent analytical skills and proven ability to work under pressure.
  • Strong problem solving, conflict resolution and mediation skills to effectively deal with internal/external stakeholders, students and staff.
  • Welldeveloped communication (written and verbal), client service, advising, and negotiation skills in order to effectively support Seneca's diverse population of students and staff.
  • Innovative mindset, with an interest in continuous improvement.
