The Office of Study Abroad & International Partnerships is seeking a Program Officer to provide operational support and oversight for all outgoing exchange and study abroad students.

This position will work closely with the International Liaison Officer and Manager in supporting the ongoing development and administration of projects and faculty-led programs abroad.


RESPONSIBILITIES:


  • Maintain and update web page information and social media accounts
  • Update all academic information on our exchange partner schools
  • Monitor international agreements and memoranda of understanding with other academic institutions
  • Promote international experiential opportunities by organizing and delivering information sessions to current and new students
  • Establish procedures for visa processing to partner countries
  • Oversee the online predeparture session via Moodle for risk management purposes
  • Conduct specialized outgoing student orientations for students
  • Assist in the oversight of the student travel abroad policy
  • Develop and maintain emergency contact database
  • Work with Faculty members to assist in the preparation of proposals for shortterm projects
  • Ensure that the partner institutions have current information about UPEI for their prospective and current visiting exchange students
  • Plan and facilitate activities for postreturn international mobility program participants and guide them in reflective exercises. Encourage their participation as mentors for future students
  • Create, update and maintain a database on the University's international activities, including student exchange balances, agreements, institutional visits etc.
  • Liaise with UPEI's International Student Advisors regarding orientation of inbound exchange students
  • Conduct predeparture orientation sessions and debriefing interview sessions for all outbound UPEI international exchange students
  • Maintain partner school database of academic offerings
  • Assist in proposal writing for funded international opportunities
  • Assist in securing funding for students to study abroad
  • Assist in developing a sustainable longterm strategy for the international opportunities within the OSAIP
  • Provide support with oncampus visitors and visiting scholars
  • Collaborate with counterpart administrators of international programs in the Atlantic Canada regions and planning events within the consortium
  • Other duties as assigned

QUALIFICATIONS:


The successful applicant must possess the following:

  • Excellent interpersonal, client service and communication skills, both verbal and written
  • Strong presentation skills
  • Detail and process oriented
  • Financial management, forecasting and budgeting skills
  • Ability to work independently as well as across teams with a broad range of stakeholders
  • Experience working in an academic system to understand the way a university system works
  • Experience in proposal writing (funding and nonfunding)
  • Multicultural skills are an asset to deal with a diverse group of individuals to achieve effective communication with all stakeholders
  • Time management skills and the ability to prioritize are essential to this role due to the many different aspects of the position
  • Strategic thinking, research and critical analysis skills
  • Strong capability to understand agreement processes, policies and procedures
  • Experience in project coordination, event planning and time management
  • Experience in international education and/or international work environments
  • Experience in Moodle, myUPEI, and Colleague would be considered an asset
  • Strong interpersonal skills with the ability to establish and maintain relationships with multiple stakeholders
