Program Coordinator - UniForum:


Primary Purpose:

The Program Coordinator will provide oversight, coordination, and support for the University of Saskatchewan's UniForum Benchmarking Program to ensure that all activities related to the annual collection, submission, and analysis of data are carried out successfully.

The program aims to benchmark university administrative support functions and services (e.g. finance, human resources, and student support) with over 50 universities worldwide to gain insights into their efficiency and effectiveness.

The incumbent will collaborate with program leaders, project team members, and university stakeholders to ensure adherence to the membership requirements of the Cubane UniForum consortium.


Nature of Work:

Reporting to ICT's Chief Enterprise Architect and IPA's Senior Director of Assessment and Analytics, this position operates in a high-volume and dynamic environment.

The Program Coordinator will build positive relationships with university stakeholders to ensure effective data acquisition, composition, submission, and dissemination.

The incumbent will lead the UniForum program at USask including preparing work plans, developing communication strategies, liaising with external consultants, supporting stakeholder involvement, and preparing analysis for senior leaders.

This position requires a high level of discretion, integrity, and independent judgement.


Accountabilities:


  • Lead the implementation of the annual UniForum data collection process using project management methodologies.
  • Communicate project goals and expectations to team members and stakeholders.
  • Build relationships with university stakeholders to facilitate data collection.
  • Develop written content to provide insight and updates to support stakeholder involvement in the program.
  • Lead educational sessions, focus groups, and support engagements to ensure accurate data collection.
  • Liaises with Cubane and participating universities to clarify definitions, address data collection issues, and participate in special topics forums.
  • Responds to adhoc requests and provide informed answers or guidance.
  • Leads the development and implementation of the service effectiveness survey on an annual (or biannual) basis.
  • Provides insight to university leaders and committees on the performance and cost of administrative activity.
  • Assumes a lead role for UniForum specific initiatives.
  • Promotes a healthy, respectful, collegial, and productive work environment among the project team and in interactions with campus and external stakeholders.
  • Performs other related duties or projects as required.

Education:
An undergraduate degree in an analytical or business discipline is required. A graduate degree, related training in data analytics, quantitative analysis, or business analysis would be considered an asset. Designation as a Project Management Professional (PMP) would also be considered an asset.


Experience:
A minimum of five years of experience with some combination of program management, project coordination, business analysis, analyzing quantitative and qualitative data, and developing reports and presentations; ability to analyze and convert data into useful information; knowledge of survey administration and analysis; experience with interpreting and presenting information to organization leaders; ability to work effectively as part of a team or independently; experience developing or implementing projects which achieve expected outcomes; proven success in completing high quality work in an accurate and timely manner; analytical, research, organizational and problem-solving skills; ability to think creatively and identify innovative solutions; proficiency with Microsoft Office tools and various data analysis products/platforms (e.g. PowerBI, SPSS, etc.).

Highly organized with effective oral, written, interpersonal, problem solving, and negotiating skills; ability to work independently, collaboratively and within a team environment; demonstrated ability to handle responsibility and authority to make decisions; ability to lead, instruct, implement and guide a team from project inception through to completion; competency in determining information needs, identifying sources of information, extracting and analyzing data, and communicating findings to audiences of all levels and degrees of interest; strong research and problem solving skills; proven ability to prioritize and meet deadlines; demonstrated ability to think and act strategically, exercise diplomacy, and implement creative solutions; ability to effectively prioritize and manage multiple and concurrent priorities.
