General Position Description:

This position is responsible for reception duties as well as providing secretarial, clerical and

administrative support to ensure efficiency and effectiveness within the organization.


Key Responsibilities:


Receptionist Functions:


  • Answer incoming and redirecting calls; take messages; handle callers' inquiries.
  • Greet visitors, customers, suppliers, and contractors in a professional and courteous manner.
  • Ensure all visitors follow the signin and out procedures.
  • Prepare mail daily for pick up. Receive, open and date stamp mail received daily.
  • Prepare courier/freight forwarders' documents and arrange pickups.
  • Ensuring the stationary stock room is kept in an orderly manner.
  • Ordering office supplies.
  • Daily and biweekly time and attendance functions.
  • Maintaining a tidy reception environment.

Administrative Support Functions:


  • Order entry, invoicing, filing.
  • Maintaining, updating, etc. Health & Safety policy and procedure documents as directed.
  • Maintaining, and updating, etc. company policy and procedure documents as directed.
  • Provide administrative assistance to the Director of Customer Service and other senior
- managers as requested

(ie:

printing labels, correspondence, charts, etc.)

  • Provide assistance on projects as required.

Knowledge, skills, and work experience requirements:

  • Practical experience in areas of responsibility (reception/office administration)
  • Fluent in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Excellent oral and written communication skills
  • Excellent customer relation skills, both in person and over the phone.
  • Attention to detail.
  • Ability to work consistently to quality policies and operating procedure

Schedule:

  • Day shift

Supplemental pay types:

  • Overtime pay

Ability to commute/relocate:

  • North York, ON: reliably commute or plan to relocate before starting work (required)

Education:


  • Secondary School (preferred)

Experience:


  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
