What we're looking for

A day in the life

  • Coordinate activities for our operating floor and maintain common areas
  • Lead projects and initiatives for the ongoing success of our overall operations and for the social committee
  • Compose and send regular communications to various teams to provide news and updates on projects and social events
  • Schedule and organize meetings with catering when needed
  • Perform administrative tasks such as maintaining meeting agendas, action plans, scheduling interviews, taking meeting minutes, writing expense reports, etc.
  • Ensure documentation is maintained, properly structured, and digitally filed in accordance with office protocol
  • Prepare necessary documents for approvals
  • Assemble documents for monthend process for operations reporting
  • Maintain inventory of office supplies
  • Manage and maintain documentation in specific areas of our business and support document management for one of our programs
  • Take initiative and demonstrate a willingness to support team members and resolve problems relating to general office functions

What you'll bring to the table

  • Highly structured and organized
  • Excellent communication skills
  • Able to prioritize and execute duties with mínimal or no supervision
  • Exercise sound judgement
  • Problemsolving mindset
  • Customer service skills and customercentric thinking
  • High school diploma/GED equivalency mandatory
  • University degree or diploma in administration or related field considered an asset
  • 3+ years of direct work experience in an administrative support role
  • Excellent team player who possesses natural teambuilding skills
  • Ability to effectively communicate both verbally and in writing
  • Ability to coordinate and organize meetings between executives with varied availabilities
  • Detailoriented, conducts work thoroughly without compromising pace
  • High level of integrity, confidentially, and accountability
  • Strong skills with MS Office tools and comfortable navigating new programs and software
  • Bilingual in English and French
  • Possess or able to obtain a valid Enhanced Reliability security clearance
