Position Summary:
The Administrative Assistant's primary responsibility is to provide administrative and professional support to all partners and team members of the firm.
We are looking for someone who is confident in their ability to jump in and help the team as needed.
We are a busy, growing firm and you will need to be comfortable working independently while constantly learning new things, while providing detailed and accurate information, and delivering the utmost service with tact, both internally and externally.
Responsibilities and Duties:
- Schedule meetings and appointments
- Manage partner calendar to accurately assess availability
- Manage travel arrangements, transportation and accommodation
- Handle errands as needed
- Setting up, reviewing, and revising Financial Statements (FS) in Jazzit and CaseView to meet appropriate deadlines
- Preparing final FS packages for client delivery with a high degree of accuracy and attention
- Filing various tax returns and other documents
- Following up with clients on outstanding completion documents to be returned for finalize process
- Rolling forward, clean up and lock down of CaseWare files, and archiving files to meet appropriate deadlines
- Maintaining and updating monthly stats and other tracking systems for assemblies and administrative processes
- Organizing meetings involving multiple senior executives from both the firm and various other companies
- Assisting with the preparation of business presentations and scheduling/preparation of marketing events
- Responding to client requests and inquiries
- Preparing invoices, managing accounts receivable, calling clients and processing payments
- Performing additional functions as directed
Education and Professional Skills/Knowledge:
- Minimum 13 years experience in a professional administrative capacity
- Experience with Jazzit, CaseWare and TaxPrep programs, preferred
- Ability to exercise good judgement, show initiative and be proactive
- High standards of ethic and confidentiality to handle sensitive information
- Advanced knowledge of MS Office and Excel
- Sound knowledge and understanding of bookkeeping functions would be an asset
- High attention to details in all areas of work
- Excellent problemsolving skills and an ability to work in a team environment
- Exceptional organizational, time management and prioritizing skills
- Proven ability to effectively prioritize workflow
- Excellent interpersonal, written and oral communication skills
