Job Summary:
Reporting to the Manager Talent Acquisition, the Talent Acquisition Representative provides administrative support to the Talent Acquisition Team.
The Talent Acquisition Representative is responsible for interview coordination, internal transfers, student hire coordination, disbursements and collection of all documentation required for new hires and internal staff movement.
Education:
- Postsecondary diploma in Human Resources/Business Administration
Knowledge:
- 2 years of experience in an HR environment working with HRIS systems
- Experience working in an HR administration role
- Experience working within a Municipal/Public Sector multi unionized environment
- Knowledge of applicable Privacy Legislation and the Employment Standards Act
- Certified Human Resources Professional (CHRP) designation is preferred
Responsibilities:
_ Supports the recruitment and selection processes (50% of time)_:
- Accountable for arranging advertising for posted positions in consultation with the Talent Advisor
- Administers the electronic interview packages and issues to interview panel
- Sets up and maintains shared onboarding interview sites
- Archives files in CRMS on an annual basis
- Provides position posting support as assigned for volume recruits
- Coordinates summer hire process
- Supports the execution of internal transfers in coordination with the Talent Advisor
Provides support to the Talent Acquisition Team, coordinating all administrative processes to manage staff movement, new hires and rehires.
(30% of time)_**:
- Prepares and issues letters to successful applicants such as new hires, internal success letters, transfers, appointments, labour pool assignments in consultation with the Talent Advisor
- Prepares and issues letters for other internal people movement such as bumps, layoffs and recalls
- Accountable for data entry into HRIS.
- Monitors information within the letters and documents for overall quality as well as compliance to collective agreement, internal policies and other legislation.
_ New Hire Documents (10% of time)_:
- Coordinates completed interview documentation and file.
- Coordinates and actions file and data transfer to Operations team
- With Talent Acquisition Advisors collect, review and verify all source documents (new hire documentation)
_ Meetings (10% of time)_:
- Identifies and participates on process improvement initiatives, policy updates, etc.
- Provides support on Recruitment/HR projects as required.
- Builds strong relationships with managers and other administrative roles across the organization to support problem resolution and coordinate project assignments
Special Requirements:
- In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate.
- Must maintain ability to travel in a timely manner to other offices, work locations or sites as authorized by the Corporation for business reasons.
