GENERAL ACCOUNTABILITY
The Production Coordinator is responsible for directing, planning, and coordinating projects for the corporate design department.

Ensures deadlines and deliverables are being met and liaises with internal departments and external vendors as well as the creative teams to ensure projects and materials are completed within the designated time frame, scope and budget.

Supports the delivery of corporate objectives and represents the department in cross-divisional meetings.


KEY ACCOUNTABILITIES

Project Coordination and Review- Prioritizes work requests and production flow based on project type, corporate priorities, deadlines, resource strength and availability.- Coordinates and prepares all corporate print and web materials requiring review.- Responsible for overseeing and moderating the department's proofing process.- Liaises with line area content owners in the review and development of existing and new creative content for print and web distribution.- Manages the department's data entry and content management system.- Performs basic proofreading required to moderate proof progression.


Print Production, Specifications and Tenders- Develops and prepares print specifications for tender requests.- Administers the tender process for the department, ensuring adherence to corporate purchasing processes and approvals.- Prepares and submits all departmental purchase orders.- Manages the printing processes of all materials for an assigned portfolio of properties and as they relate to other departments.- Liaises with internal/external print and marketing representatives.- Ensures adherence to established guidelines, quality control, pricing and efficiency by printers and marketing vendors.- Procures freelance services for photography, illustration, display services and other contractors who produce materials outside of standard print and web requests.


Budget and Financial Processes Management- Prepares all departmental decision request documents.- Manages departmental budget categories to achieve overall budget targets.- Monitors departmental spending and identifies, reconciles, explains and reports budget variances.- Awards print tenders, obtains executive approval on awards requiring such, and responsible for providing Purchasing with required materials and requests related to aspects of the tender/award process.- Responsible for data entry into corporate systems such as PeopleSoft, JIRA, etc.

used by other departments for information management of corporate product and their releases.- Responsible for all monthly departmental reconciliations, journal entries and related financial duties.


Legislative Records Management and Archiving- Responsible for the collection and submission of the department's corporate print/web materials to the provincial Legislative Library.

Manages Corporate Print Distribution and Releases and Directwest Corporate Directory, Claims and Salvage Ads- Responsible for providing the warehouse with Product Management corporate print release dates, directs national distribution, and provides cease, desist and destruct instructions.- Manages print flag and stock levels and provides reports for such upon request by various departments.- Does analysis of stock level and determines reprint feasibility and quantities while operating within budget and deadlines.- Responsible for coordinating, proofing, and providing finished corporate directory ads for Claims, Salvage, issuing and broker services for Saskatchewan to Directwest.- Creates annual review schedule based on Directwest production deadlines for each region in Saskatchewan and ensures approvals and deadlines are met.
