4 day work week Hybrid Position 2 days in office (Thursday and Friday in office) 2 days remote OR 3 day workweek (Thursday and Friday in office) plus 1 weekend day per month (applicable from September -May) optional

The Company

The Ontario Association of Jungian Analysts (OAJA), a non-profit, and its sister charitable organization the C.G. Jung Foundation of Ontario (CGJFO) are member-run and established over 20 years ago.

We have three main functions.

We operate a psychotherapy school that trains Jungian psychoanalysts; we run an annual series of public seminars on Jungian psychology, and we support the continuing education of our Jungian Analyst members.


Our Analyst Training Program is officially recognized by the College of Registered Psychotherapists (CRPO) as a psychotherapy training programme in Ontario, Canada, is a registered Private Career College, and is also recognized globally by the International Association of Analytical Psychology (IAAP).


Opportunity


We are looking for a self-motivated and results-driven
Co-ordinator/Administrator to assist us with our organization's business activities and to provide support to the team, including scheduling meetings, phone calls, event coordination and coordinating website updates.


Duties for the
Co-ordinator/Administrator will include ensuring all administrative functions are performed and ensuring the business requirements of the organization are met.

This will include but not limited to ensuring good customer service, improving administration processes, drafting communications, managing mailings, customer service, preparing reports, maintaining appropriate filing systems, engaging with vendors and monitoring financial activities.

Your entrepreneurial spirit and vision in supporting business functions will assist our organization in maintaining relationships with clients, improving service, ensuring sustainability, and meeting business objectives.


KEY ACCOUNTABILITIES & ACTIVITIES include but are not limited to:

  • Coordinating seminars for student and public registrations
  • Coordinating and ensuring government and regulatory compliance requirements are met
  • Working collaboratively with members of the organization, including liaising with OAJA President, other Board of Directors, and accountants/bookkeepers
  • Coordinating tuition fee schedules in Excel
  • Support OAJA's goal of healthy enrollment levels in Analyst Training Program and attendance at CGJFO public lectures, discussing strategies for this with stakeholders and implementing/overseeing those strategies
  • Work with and provide regular updates to the President and/or other Board of Directors on strategic and business matters
  • Communicating with staff, stakeholders and program participants
  • Liaise with a Board member for updates after Board of Directors' and General Member meetings
  • Maintain bookkeeping files (paper and uploaded to OAJA Google drive): invoices, receipts, banking records, in cooperation with Controller and Auditor
  • Provide regular financial updates to Treasurer on an agreedupon schedule
  • Generating timely reports for stakeholders

JOB REQUIREMENTS

  • Minimum 5 years experience working in an operational capacity with administrative and/or coordinating responsibilities
  • Experience working for a notforprofit organization or in the field of psychology is an asset
  • Post secondary diploma or degree in business administration (or an equivalent combination of education and experience)
  • Proven interpersonal, teamwork, and relationship building skills
  • Strongly committed to providing an excellent client experience
  • Strong communication both written and verbal and interpersonal skills
  • Strong attention to detail and ability to work as a team member with mínimal supervision
  • Strong dedication to confidentiality, sound judgment and decisionmaking
  • Ability to stay calm under pressure and work effectively and professionally in a dynamic environment while managing multiple client demands and priorities
  • Demonstrated perseverance when establishing & building relationships with clients
  • High standard of excellence, accuracy and consistency, personal integrity, and accountability
  • Excellent strategic, analytical, and planning skills
  • Strong organizational skills to respond promptly and react to issues appropriately within given time constraints
  • Ability to multitask and prioritize in a dynamic environment
  • Team oriented, courteous and professional
