Description

GFL Environmental is looking for an Administrator to join our growing operations team out of our Barrie - Springwater office.

The Administrator is responsible for the oversight and understanding of the overall process flow of office administration, customer service, and accounts payables / receivables.

Provide general office support and have the eagerness and ability to learn, adapt, and work in a fast paced, multifunctional environment.


Key Responsibilities:


Paperwork:
Collect paperwork from shipper, photocopy and distribute to office personnel as required


Customer reports:
creating/maintaining customer reports for customers as required (eg. Tremco)


Manifests:
tracking manifests on manifest tracking spreadsheet, separating/photocopying and.

distribution of copies of manifests, filing manifests alphanumerically, keeping track of copy 6's returned by vendors, tracking down missing copy 6's for outbounds.


Mail and Couriers:
Prepare and send outgoing mail/courier packages, drop off/pick up mail at Circle K, distribute mail to proper personnel in office


Driver paperwork:
collect, separate, and prepare driver paperwork for courier package to Hamilton daily


Switchboard and Reception (as required): Answer phones, take messages, direct calls
Greet guests & have them sign log in book, direct to proper personnel.


Intercompany Tracking:
Enter all inbound interco work orders onto Interco tracking spreadsheet


Audits and Meetings (as required): Preparing for Meetings, tours, audits, Tim Hortons, order food etc. Clean up after Meetings, Tours, audits. Photocopy documents and prepare information required by Audits and Meetings, Etc.


Documents:
Creating and/or updating documents as directed by management (ie. Fire safety plans, ER plans, SOP's, etc.), phone lists, audit packages, correspondence,


Scanning:
Scanning and saving to proper location - ECR's, ECL's, Contractor safety sheets, Tool talks, JH&S meetings.


Processing sheets:
Store/file processing sheets in file copy room and make sure 3 months prior is on hand, anything older than three months can be put in shred box


Knowledge, Skills, & Competencies:

High School diploma
Valid driver's license
Two (2) or more years of general office or accounts receivables experience
Microsoft Office experience
Customer service skills, effectively addressing and resolving escalated customer concerns with positive business impact
Ability to communicate effectively with internal and external customers
Strong work ethic, demonstrating integrity, trust, and maintain confidentiality
Ability to read, write, and comprehend reports and associated documents
Ability to understand and follow oral and written instructions
Ability to prioritize workload and meet time sensitive deadlines
Business acumen and ability to work effectively across various teams and levels
Flexibility to accept and adapt to change as well as the commitment to seek continuous improvement
Ability to exert muscle force to lift, push, pull or carry objects


Ability to coordinate two or more limbs (for example: two arms, two legs, or one leg and one arm) while sitting or standing
Ability to make simple and repeated movements of the fingers, hands, and wrists
Knowledge of proper lifting techniques
Ability to follow all company safety policies and procedures
