JOB SUMMARY


Buyer II reports to the Purchasing Supervisor and is primarily responsible for placing purchase orders for hospital clients while working closely with the strategic sourcing team.

The Buyer II must ensure procurement activities are managed in a professional, compliant and cost-effective manner.

The role is responsible for supporting, performing and managing key functions of Purchase Order Entry, Match Audit, Filing and supporting maintenance of purchasing related databases.


PRIMARY RESPONSIBILITIES
The primary duties and responsibilities include, but are not limited to:

Purchase Orders

  • Managing purchase order acknowledgement by liaising with end users, and vendors to ensure timely action on backordered and constrained product and pricing issues
  • Managing 'Match-Audit Invoice Exceptions' by reviewing various interfaces and liaising with Accounts Payable, Receiving and Suppliers to resolve discrepancies;
  • Maintaining item dictionary accuracy through provision of pricing information to Master Data Management
  • Processing Direct and Inventory purchase orders to support the daily Hospital operations
  • Ensuring compliance to hospital procurement policy and provincial directives
  • Other duties as assigned

Logistics

  • Assisting with the return of goods to the supplier and recall processes
  • Working closely with the endusers and logistics staff to manage the reorder of main inventory materials to ensure availability of supply
  • Working closely with the Logistics team to support the Justintime (JIT) program

Troubleshooting

  • Resolving order hold or shipment issues with suppliers by working closely with the Accounts Payable Clerks and suppliers
  • Working closely with data management to identify opportunities to increase accuracy of the item dictionary and implementation of contracted/noncontracted items
  • Support and backup within functional team
  • Develops a variety of system knowledge to support various Hospital and SSW led initiatives
  • Processing and distribution of the ECRI alerts

Education

  • College diploma or Certificate in business or related field, or equivalent work experience
  • Member of Purchasing Management Association of Canada (PMAC), Level 2 is an asset

Work Experience
Minimum 2-3 years of purchasing experience, preferably in a healthcare environment


Knowledge and understanding

  • Familiarity with standard purchasing controls and compliance
  • Familiarity with standard 'Requisition to Pay' workflows
  • Knowledge of Medical Terminology is an asset

Technical Skills

  • Computer skills
  • Experience with a Materials Management Purchasing system;
