Description
Dragados Canada, Inc., the Canadian construction arm of the ACS Group (one of the world's largest international construction and engineering companies), is seeking a talented and experienced Executive Assistant to join its dynamic and energetic team.
Dragados Canada was established in 2008 and has grown steadily into an industry-leader in Canada, with offices in Toronto, Vancouver and Montreal, successfully performing a variety of large-scale transportation, bridge, dam, tunnel, and other major infrastructure projects.
Responsibilities
- Provide proactive support with a variety of responsibilities and special projects related to tendering phase and operations
- Maintain expense and mileage reports
- Manage the Bidding department which can include:
- Act as a point of contact for queries related to Bidding department
- Obtain approvals from the Executives for the Department Expense Report
- Maintain an uptodate Bidding Floor plan with seating arrangements
- Coordinate travel arrangements which include providing essential documents and information as required
- Schedule meetings/conference calls and maintain the Executives calendar
- Prepare business expense reports in a timely manner
- Review and process department invoices
- Support the preparation of reports and presentations for meetings
- Coordinate and participate in team meetings, manage agenda items, record and distribute minutes
- Adapt different working styles of each individual Executive
- Plan, organize and followup on details related to offsite meetings
- Anticipate and assess the needs of the Executives to ensure their success
- Perform and manage variety of complex and other general administrative support duties as required
Qualifications
- College diploma in Office Administration or other relevant discipline is preferred
- Minimum 5 years of experience supporting one or multiple senior Executives and other team members
- Proficient with MS Office Suite (Outlook, Word, Excel and Power Point) and Adobe Acrobat
- Strong command of English language (speaking, reading and writing)
- Ability to maintain strict confidentiality
- Ability to thrive in a fast paced, highpressure work environment while effectively managing competing and changing priorities
- Proven time management skills with the ability to take initiative in the development and completion of assigned projects and duties
- Ability to build and maintain strong relationships across all levels of the company
- Meticulous attention to detail and accuracy
- High level of organization, problem solving and multitasking skills
- Positive, solution driven "can do" attitude
- Willingness to work overtime if needed
