DUTIES & RESPONSIBILITIES

  • Responds to all student inquiries, including but not limited to the SMC undergraduate financial aid program, admissions inquiries, petitions, and college registration.
  • Assists the Assistant Registrar, Recruitment in preparing for and executing the annual recruitment and yield campaigns. Liaises with Communications to align messaging and timing.
  • Maintains office statistics for review by the Director of Student Services and Registrar which informs office reporting cycles.
  • Assists the Registrar and Director of Student Services in matters related to USMC Governance, planning and attending meetings, creating correspondence, maintaining archives, and any other matter related to Governance as instructed.
  • Assesses student eligibility for the Canadian Pension Plan (CPP); verifies student status for various scholarship trust funds such as Registered Education Savings Plans and communicates with insurance companies on student eligibility. This often requires contact with students to explain the qualifications.
  • Provides referrals to other services; advises prospective students and parents on admissions procedures and college choice; advises students on tuition and fee refund issues as well as interpreting tuition policies
  • Informs, assists and interprets transfer credit policies and decisions to students and advisors.
  • Provides information on the Academic Calendar, Registration and Timetable to both newly adimtted and returning students.
  • Attends Faculty of Arts and Science professional development sessions as well as opporutinties offered by the Office of the Faculty Registrar and external opportunities. Participates in regularly scheduled Office Staff meetings
  • Often investigates exceptions to policies and works with the Registrars to determine or clarify an interpretation or exception of a rule. Has authority to fix obvious errors.
  • Supports and provides backup to the Assistant Registrars (Admissions and Financial Aid/Recruitment) as required.
  • Updates the various web pages: Future Students, Student Services, Registrar and Student Services
  • Assists with the SMC recruitment effort, organizing and attending on campus events, and further assisting with off campus recruiting events, occasionally during nonregualar office hours, under the direction of the Director of Student Services and Registrar.
  • Assists with communications in various social media channels including but not limited to the listserv to students, Twitter and Instagram.
  • Serves as liaison with other departments on eventrelated matters (food services, facilities, conferences,)
  • Ensures that the Registrar is kept aware of topics that require immediate attention.
  • Available for frequent and ongoing contact with staff at USMC, Office of the Faculty Registrar, academic units and Student Services.

  • Assists with other office functions and administrative duties as required.

QUALIFICATIONS

  • One to three years working in a related, service oriented capacity in a postsecondary environment, within a high volume of traffic environment.
  • University of Toronto experience preferred.
  • Working knowledge of ROSI/ACORN, Degree Explorer, Awards Explorer and related features is a definite asset.
  • Demonstrated ability to work under pressure, meet deadlines, be flexible and work independently.
  • Ability to work well in a crosscultural environment.
  • Excellent oneonone and large group communication and presentation skills.
  • Skill establishing and maintaining effective working relationships
