The Opportunity:

WSP is currently seeking a Project Coordinator/Administrative Assistant to join our Building Sciences Team, located at our Winnipeg office. Reporting to the District Manager, Buildings, this position will be responsible for administrative support to the Building Sciences team. You will be an integral part of a vibrant Building Sciences Team.

Our Team works on some exciting projects both locally and nationally, your contribution will be vital to the continued success of the Team.

WSP offers a flexible hybrid work model, allowing you to work from home 2-3 days a week.


The duties include setting up projects in Oracle, preparing Project Safety Plans in consultation with Project Managers, coordinating travel, coordinating sub-contractor contracts, producing reports, preparing presentations, reviewing documents, basic invoicing support, resolve issues, plan team functions, word processing, document preparation, data entry, photocopying, distribution, filing, preparation of courier packages of projects and proposals, as directed by the Project and Team Managers.

This position is required to interact closely with Project Managers and project staff on a daily basis to support the timely completion of each project.

A day in the life:


  • Assist in the project opening process, including project file and accounting setup, and the preparation of project startup and safety documentation;
  • Support the business line marketing initiatives including coordination of events, sponsorship, advertising, budget tracking, and membership renewals;
  • Maintain a database of projects and CV updates for the team;
  • Scheduling any monthly management/marketing/teamrelated meetings;
  • Coordinating travel for Team Members;
  • Administration/support of SharePoint portals for the project, proposal and business sites;
  • Develop, produce and distribute reports, studies, proposals, and general correspondence;
  • Manage project and program information, including database and filing;
  • Collaborate with internal staff to ensure completion of projects on a timely basis;
  • Assist in daily administrative duties and tasks.

We'd love to hear from you if you have...

  • College diploma in Administration or other equivalent training;
  • 3 to 5 years of relevant experience as an Project Coordinator or Administration Assistant preferably within an Engineering/Architectural or other professional service office;
  • Excellent organizational and time management skills to respond to changing priorities and handling multiple tasks;
  • Proven ability to meet deadlines and prioritize workload;
  • Experience working with SharePoint would be considered an asset;
  • Good initiative, strong attention to detail;
  • Decision making and problem solving ability;
  • Ability to work independently as well as in a team environment;
  • Excellent verbal and written communication skills.
