Coordinator, Procurement Admin

Legislative Services - Procurement

Two full time contracts, ending December 31, 2024

Salary Range:
$65,480 - $81,849

Location: 10 Peel Centre Drive, Brampton**
Hours of Work: 35 hours per week; Monday - Friday 8:30AM - 4:30PM**In this role you will provide ongoing administrative, document management and low dollar value procurement support to Purchasing, clients, departments and vendors in accordance with established program, Purchasing and Finance By-Laws, policies, procedures and business practices.

You will also act as primary support and key point of contact for Purchase Order and document management information.


What You'll Do:


  • Provide vendor, client, and Purchasing Analysts support, respond to inquiries
  • Administer the Document Management activities for all purchasing processes, including establishing and maintaining document files, accessions, archiving and disposition in accordance with Records Retention policy and procedure
  • Facilitate electronic tender opening, including verification and recording of results and publishing of results
  • Administer and maintain external Bid Documents web pages, including uploading of Purchasing documents, addenda and approved Procurement Award and Council resolution decisions
  • Prepare a variety of regularly scheduled reports on purchasing business activities and services
  • Route and track procurement award reports and update web pages as appropriate
  • Maintain inventory and order replenishment for all office supplies
  • File and maintain accurate records of all bid sureties, performance sureties and bonds
  • Prepare correspondence and return cheques/bonds to vendors as required
  • Train and provide guidance to summer students and temporary staff
  • Provide support and back up to designated purchasing staff as required from time to time

What the role requires:


  • College diploma or university degree in Business/Office Administration or other related discipline
  • Minimum 3 years job related experience, or an equivalent combination of education and experience may be considered
  • Proficient knowledge of the Microsoft Office suite of products including Outlook
  • Ability to lift boxes up to 30 pounds

Skills and Abilities:


  • Skill in establishing and maintaining effective working relationships with all division/department personnel, supervisors, and vendors
  • Ability to work effectively and efficiently with mínimal supervision and as a team member
  • Ability to clearly communicate information both orally and in writing
  • Strong customer service, interpersonal, time management and analytical skills
  • Must be detail oriented and able to manage multiple tasks and changing priorities
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias

Nice to Have:


  • Completion or enrollment in the Ontario Public Buyers Association Principle's Certificate Program is an asset
  • Knowledge of public sector purchasing policies and procedures and contract law

Work Mode & Job Location:

In this role you will have the ability to work remotely and attend on-site when required based on operational requirements at the 10 Peel Centre Drive, Brampton worksite.

The frequency of on-site activities may vary on a weekly basis and based on operational requirements. Your remote work location must be located within the province of Ontario.
