    Job Description

    The Associate, Operations Support is responsible for coordinating support tasks related to operations in the organization. This position oversees tasks to completion and report their progress to the operations manager. This position is responsible for communicating with outside partners, and vendors.

    Essential Functions/Core Responsibilities

    • Participate in the planning, development, implementation and support of operational activities
    • Answer incoming calls, refer calls to appropriate person, and take messages
    • Respond to customer questions and requests, resolve complaints, and escalate issues as needed
    • Identify ways to streamline operational procedures between or within departments
    • Coordinate rewards and recognitions and other employee engagement activities on the floor

    Candidate Profile

    • Bachelor's Degree in related field from a four-year college or university with minimum two years of relevant experience preferred
    • Strong communication skills, both written and verbal
    • Strong attention to detail
    • Sense of professionalism and ability to develop relationships
    • Self-starter, sense of urgency, and works well under pressure
    • Ability to multi-task, prioritize, and meet timelines on deliverable items
    • Proficient in Microsoft Office

    Additional Job Details

    • Fixed Expense Reporting - collate agency submissions, back up decks and spends for weekly review and addition to the Marketing and Sales Tracker; then facilitate transfer of approved items to Finance's Daily Tracker process
    • Input of financial requisitions, payment requests, monitoring issuance of purchase orders, review accounts payable information relating to vendor inquiries, tracking ledger activity
    • Monthly Finance Accrual submission to Finance - required submission prior to month-end to Finance, based on reconciliation of completed activity, available for questions from Finance prior to and after month-end
    • Primary contact with vendor to review on monthly reports with internal stakeholders to ensure values fall inline with accruals and media reports
    • Monthly Finance Forecast Submission - touchpoints with internal stakeholders for different projects, i.e. Web, Social Media, Online Advertising, Customer Relationship Management, Sales Training, Customer Experience, Research
    • Prepare monthly brand forecast
    • Manage Privacy Officer duties - monitor the privacy office voicemail box and respond to information change requests or complaints in writing and verbally (confirming)
    • Coordinate the collation of dealer presentations (executive dealer decks, virtual meetings with dealers, etc)
    • Manage Awards licensing - work with purchasing to quote cost to use new awards and then execute contract as needed; Distribute the award to all agencies once purchased
    • Prepare and share sales report on monthly basis
    • Assist Sales Training department with indesign file needs (course announcements, guides)
    • Adhoc: Ad Standard Cases (temporarily assigned to internal stakeholder until replacement found)

    Skills Required:

    • Strong Excel and Sharepoint (Word, Powerpoint) capabilities
    • High attention to detail, critical when dealing with budgets
    • Experience with inDesign is an asset but not required
