Job role:


We are looking for an Office Administrator to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Ideally, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.


Responsibilities:

  • Manage emails and communications
  • Bookkeeping and accounting
  • HR Administrative duties
  • Proposal creation, contracts management
  • Manage subscriptions and other online requisites
  • Office equipment maintenance
  • Bills payments
  • Organize the cloud-based office layout and order stationery and equipment
  • Training and onboarding of new staff
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Address employee queries regarding office management issues (e.g. stationery, Hardware, software and travel arrangements)
  • Coordinate with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Employee welfare

Requirements:

  • Proven experience as an Office manager, Front office manager or Administrative assistant
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands-on experience with online and cloud-based office environments
  • Familiarity with email scheduling tools, like Email Scheduler.
  • Attention to detail and problem-solving skills.
  • Excellent English in written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • BA, BBA or BSc or related professional qualification in Office Administration, Business Administration. Accounting or HR
Preferred Hours of Work: Monday - Friday, 3 pm AM
