Job SummaryThe Administrative Support is responsible for delivering support services within the full-suite employment model. More specifically, this position supports the administrative functions of the team
Job Specific Responsibilities
Direct Client Service
- Provides backup support to reception staff.
Clerical
- Assist in maintaining the program databases by entering data, generating reports, supporting analysis, and regular auditing of data integrity.
- Prepare statistical reports and documentation.
- Maintain resource lists, log and enter client information into central database as necessary.
Administration
- Assist in preparation of flyers, posters, social media and other documents as assigned.
- Create and modifies programspecific computer templates/forms as required.
- Assist with the preparation, maintenance and filing of electronic client records including participation in client file administrative audits.
- Support financial requirements related to RFPs, petty cash, invoice and/or casual timesheets.
- In consultation with Human Resources, supporting the dissemination and collection of paperwork for program participants engaging in placements at PQCHC.
- Create team meeting agenda in consultation with supervisor and record and distribute and minutes of meetings.
- Draft, edit, adapt and produce routine correspondence.
- Maintain effective communication of information among internal and external stakeholders.
- Assist in the development of program specific policies and procedures/guidelines and in the overall planning and development of the program.
- Attend and participate at team and general staff meetings as scheduled.
- Participate in the evaluation component of all relevant programs.
- Participate in the internal chart audit process.
- Provide support to clients of team members as needed.
Education
- High School Diploma and postsecondary training in office administration or related program or equivalent combination of experience and education.
Professional Experience
- 23 years administrative support experience, preferably in a human service setting.
Key Competencies
- Experience dealing with the public.
- Experience in creating social media posts.
Linguistic Profile (for Centres with French Language Service Designations)
- Under the Centre's designation to provide French Language Services

New Avenues Linguistics Rating Scale:
A+ (highest skill) to C- (lowest skill)
- English (oral expression): A+ (required)
- English (oral comprehension): A+ (required)
- English (reading comprehension): A+ (required)
- Other languages preferred.
Personal Suitability/Other Requirements
- Communication skills, both oral and written, for a variety of audiences.
