Department summary


The Faculty of Medicine & Dentistry at the University of Alberta is one of the world's elite academic health sciences centres, where top students are taught by award-winning educators and mentored by renowned scientists in a dynamic learning environment.

Position summary
The position requires an understanding and familiarity with several areas including FGSR policies, university graduate programs, and FOIPP.

The GPA requires excellent communication skills, must be highly organized and possess the ability to work both independently and as part of a team.

The position requires the ability to work in a fast-paced and demanding environment and to be able to provide a proactive and innovative approach in solving problems, facilitating solutions and continuous process improvement.


Duties

Faculty award competitions (80%):

  • Administers all graduate student and PDF funding and award competitions.
  • Administers the FoMD Excellence in Mentoring Awards competition and organizes the recognition event.
  • Works in close collaboration and provides advice to departments and faculty members who oversee the various competitions.
  • Communicates competition deadlines and responds to enquiries.
  • Maintains electronic records.
  • Coordinates with the Office of Research's finance partner and Research Services Office to ensure students receive information about various processes/deadlines for funding opportunities. Reviews final statements of awards when funds are to be returned to agency or at fiscal yearend. Manages and coordinates student payroll for FoMD funding when advised.

Graduate program support (15%):

  • Serves as contact person for the MSGP and the MD/PhD Program to the Faculty of Graduate Studies and Research.
  • Reviews all FGSR forms for departments under the MSGP portfolio prior to having the MSGP Chair sign. Forwards to FGSR for final approval.
  • Serves as committee secretariat and takes minutes for MSGPC, Graduate Program Committee (GPC), and other ad hoc committees set up by the Associate Dean Research, Graduate Programs.
General support to the FoMD Office of Research (5%):

  • Provide administrative support for the Undergraduate Summer Student Research Program.
  • Provide administrative support for other research training programs as assigned

Minimum Qualifications

  • Undergraduate degree with 13 years related job experience, master's preferred.
  • Extensive knowledge of university, FGSR, and FoMD policies and procedures is strongly preferred.
  • Proficiency with typical office software including MS Office Suite, Adobe Acrobat, and Google Workspace.
  • Proficiency in the use of Enterprise Applications (PeopleSoft, Campus Solutions, HCM, SupplyNet, Financials, etc.) is strongly preferred.
