Position Overview:


Reporting to the Vice President, Airport Operations, the Administrative and Logistics Specialist plays a crucial role in ensuring the efficient and smooth operation of airport facilities.

This position involves a combination of administrative responsibilities and logistics coordination to support the various functions within an airport environment.

The specialist will be responsible for managing administrative tasks, coordinating logistics, and collaborating with different departments to enhance overall airport functionality.

The duties of the
Administrative and Logistics Specialist include:


Primary Job Functions:


  • Provide project coordination and logistics support/execution for airport station opening/closing including collection/distribution of required forms and information, ordering of supplies, packing and shipping, meeting planning, correspondence, and task coordination for launch support
  • Provide project coordination and logistics support for digital enhancement projects in the areas of airport processes, customer reservation, and checkin
  • Manage Airports finance processes including payment requests, invoice reconciliation, and budget management
  • Provide department and airport support through scheduling and coordinating station visits, quality control audits, airports supply and stock monitoring/ordering, and coordination and execution of department efficiency initiatives
  • Maintain station supply and equipment inventory
  • Document control for vendor contracts, including version and addendum control, differences tracking, signature process management, etc.
  • Primary oversight of the procurement process for ground handling providers, including request for proposal, collating summary reports, coordination of meetings, letter of award/regret, and facilitation of the contract finalization.
  • Responsible for planning and coordination of department inperson summit meetings, including cost management, location selection, travel coordination, coordination of technical setup, agenda management, etc.
  • Manage department sign and display requirements for current and new requests, proof and design approval, ordering and distribution to stations, and inventory tracking.
  • Coordinate and support department culture and reward programs, including vendor communication, supply ordering/management, and distribution.
  • Represent the Airports department at company initiatives and coordinate Airports objectives.
  • Other duties as assigned

Qualifications & Requirements:

Education:


  • High School diploma or an equivalent combination of education and related experience will be considered

Experience:


  • Minimum of three (3) to five (5) years of experience in project coordination, logistics, or administrative roles.
  • Minimum of two (2) to three (3) years of customer service experience
  • Previous Airline Operations Centre or Airport Operations experience is an asset.
  • Experience in mentor/trainer role considered an asset
  • Proven ability to manage or plan large projects
  • Knowledge of procurement processes, including requests for proposal and contract finalization.
  • Document control experience with vendor contracts and version management
  • Intermediate knowledge of Microsoft Office Suite (Word, Excel, and Outlook) is essential.
  • Detailoriented with strong analytical skills.
  • Flexibility and adaptability to handle diverse responsibilities
