As our Office Manager, you will play a crucial role in maintaining a well-organized and efficient office environment


Your
responsibilities will include:


  • Oversee office management systems for 4 offices (processes, building/office maintenance, supplies, etc.)
  • IT/MSP Management: Managing for coordination of internal and 3rd party IT, including weekly meetings, ticket reviews, and coordination of IT projects
  • Commercial Insurance: In charge of all insurances for the businesses including annual renewals, placing policies for projects, certificate requests, starting claims for any accidents or jobsite issues.
  • Leadership of the admin team: having daily and weekly meetings, ensuring KPI's and priorities' are set, coaching of the team.
  • Accounting: Annual budget creation for allocation overheads, monitoring spends, and coordinating and leading monthly overhead reviews.
  • Reporting: Pulling and creating reports for executive management team, including GP review per division, profit centers, ect.
  • Other duties as assigned.

Skills:


  • Loves technology, especially MS Office and Sharepoint.
  • Ability to manage and prioritize a heavy workload as efficiently as possible
  • Ability to manage and maintain office system across multiple offices
  • Ability to multitask and adapt to change
  • Ability to be proactive and anticipate future needs
  • Proven ability to problem solve in a timely manner
  • Strong customer service skills
  • Attention to detail
  • Excellent verbal and written communication

Required Attributes and Skills:


  • 2+ years Post Secondary preferred.
  • Highschool required.
  • 35 years as an Office Manager or Executive Assistant.
  • 2+ Years of managerial experience.
  • Experience in construction an asset.
  • Knowledge of commercial insurance would be an asset.
  • Knowledge of creating and overseeing budget spend would be an asset.
