Summary:

The Clinical & Integrated Education (C&IE) Program at Unity Health Toronto encompasses all three sites of our organization


The C&IE program comprises:
Student Centre, Academic Affairs, Collaborative Learning, Dietetics Training and Patient and Family Education.

Stakeholders include Unity Health Toronto staff, physicians, students from all disciplines and all academic affiliates (i.e.
The University of Toronto, The Michener Institute of Education at UHN etc.)


The main responsibilities for this role is to coordinate and administer activities and programs as well as lead projects as assigned for the C&IE Program across all three sites of Unity Health.

This role specifically involves, but is not limited to the following:

  • Coordinate select initiatives/events/projects
  • Coordination of the continuing education, faculty development and collaborative learning programs
  • Coordinate and support select committees, committee meetings, materials etc.
  • Act as the point person for the program, respond to inquiries and in consultation with other team members, organize activities and provide customer service
  • Reconcile and maintain finances for relative programs
  • Proactive and continuous improvement of the auditing and data tools for C&IE activities
  • Provide assistance and leadership to the C&IE Program team as assigned and required.
  • Marketing and communication related to the Program, its activities, special events and services
  • Provide project management for identified improvement projects relating to the operation of the program

Primary Responsibilities:


  • Coordinate smooth running of C & IE activities (e.g. triage, manage and coordinate education events/programing for the portfolio);
  • Develop and refine data collection tools as required, including data collection, conducting simple analysis and compile quarterly/annual reports with results including graphs and charts;
  • As assigned, coordinate aspects of education programs. The success and reputation of the program is highly contingent upon the ability of this individual to be tactful, diplomatic, decisive, and independent in their role;
  • Ensure the effective facilitation of the development, delivery and evaluation of externally accredited programming (e.g. Annual SJHC Clinical Day);
  • Coordinates related educational courses (e.g. utilizes Learning Centre software, manages teaching scheduling and materials including coordinating teaching faculty);
  • Suggest, develop and implement new strategies/initiatives/policies to improve the delivery of programs/activities;
  • Function as the representative and liaison for the program director/manager and act as a key resource person for internal and external inquires and the main contact person for troubleshooting of any administrative and operational issues ensuring programming is running smoothly;
  • Develop, format, proofread and generate a variety of documents including correspondence, statistical reports, slides, forms and presentation materials;
  • Complete data auditing and process preceptor payments for SJHC; monitor and resolve preceptor payment related issues;
  • Coordinate and lead large complex projects (e.g. scheduling of learners etc.) for the Program across the network with demonstrated superior organizational skills, initiative, problem solving and creative thinking;
  • Work with internal and external stakeholders to identify overall project map with project scope, objectives, milestones, deadlines;
  • Organize special events (conferences, retreats, workshops, etc.) including providing all logístical support;
  • Create and independently manage effective databases for tracking metrics, evaluations and any pertinent scholarly data;
  • Coordinate and process program invoicing and payments (course registration fees, catering, program materials, honorariums etc.,);
  • Manage project timelines to ensure deliverables are met

Qualifications:


  • Degree or Postsecondary Diploma in a relevant field (project coordination or administration); previous project management experience or senior administrative experience in the health care field;
  • Must have 35 years recent related experience in a healthcare environment;
  • Must have advanced computer skills in a Microsoft Office (Access, Project, Visio, PowerPoint, Excel), database creation and management;
  • Demonstrated knowledge of medical and scientific terminology preferred;
  • Excellent analytical, interpersonal and communication skills;
  • Strong customer service orientation with ability to interact with all levels of staff, students, community partners, and general public;
  • Excellent initiative, decision making/problem solving skills;
  • Ability to prioritize and identify relevant support for the resolution issues in the day to day operations;
  • Ability to prioritize a busy workload and demonstrated ability to multitask;
  • Ability to meet deadlines
