Responsibilities:


  • Provides clerical support for the Department, including but not limited to those outlined below. Duties may vary in accordance with the operational requirements of the Department.
- uses Community wide scheduling to book appointments, run reports and schedule room assignments
- answers the telephone, relays messages and answers questions as appropriate;
- uses hospital paging system as required;
- directs visitors to patient rooms explaining pertinent hospital rules and regulations;
- transcribes physicians' orders;
- sets up patient charts according to the Medical Record Guidelines;
- types minutes, reports or other items required by the Department;
- assists in maintaining and completing time record sheets and payroll log for the Department;
- maintains statistical data collection for the Department as applicable, i.e., monthly reports, patient registration, work-load measurement date;
- assists in the preparation of patient diet Kardex, where applicable;
- distributes intra-departmental and patient mail;
- maintains adequate supplies;
- maintains current knowledge of changes and developments related to the Department.

  • Promotes the mission of quality health care by performing any other related tasks and duties that may be assigned or required in order to maintain proficient workflows.
  • Participates in a team approach to health care by supporting the Department and by attending meetings, inservices and other training programs.
  • Promotes and maintains good working relationships and communications within the facilities, with other health care programs and with patients.
  • Maintains and promotes health and safety standards and procedures according to the organization's guidelines and patient care standards to a level consistent with recognized national and provincial standards, including ethical guidelines.
  • Complies with the Continuous Quality Improvement Program as required.
  • Holds in confidence all matters pertaining to staff, residents, patients, clients and their families and information relating to the business of the organization.

Qualifications:


  • Grade XII and successful completion of an approved Office Administration program
  • Successful completion of a Medical Terminology course
  • Recent experiences with Community Wide Scheduling
  • Proficient in Microsoft Office, including Word, Excel, Email, Internet, Intranet, MEDITECH
  • Keyboarding skills of 25 wpm and maximum 5% error rate and data entry experience
  • Ability to meet the public in person and on the telephone in a pleasant and efficient manner
  • Ability to communicate effectively with physicians, staff and others with a pleasant and cooperative attitude
  • Ability to demonstrate initiative, sound judgement and remain calm in stressful situations
  • Ability to work independently, as well as part of a multidisciplinary team
  • Ability to prioritize job requirements and work in an effective and efficient manner
  • Ability to respect the confidentiality of personnel and patient information
  • Ability to follow written and verbal instructions
  • Commitment to promoting a culture of respect that supports safety, ethical practices, cultural awareness and sensitivity, and organizational health
  • Physical and mental capabilities to perform the duties of the position such as multitasking, keyboarding and working in a fastpaced, stressful environment
