Cestar College is seeking an administrative assistant within the Tutoring Centre and Third-Party Accreditation


The Tutoring Centre and Third-Party Accreditation provide the platform to aide students who need academic, mentoring, and professional development assistance.

The programs create the framework for all students to connect with senior students and peers through a variety of academic and non-academic support programs.


Role and Responsibilities

Research and Development

  • Reviewing, monitoring cocurricular, academic, and nonacademic support program; including the mentorship program and other initiative needed by students
  • Conduct student needs assessment (qualitative research) and academic result data analysis (quantitative research)
  • Use data to plan, develop and conduct departmental seminar and workshops aim at addressing students' needs.
  • Formulate intervention/ support programs for holistic development.

Managerial Support

  • Develop and maintain an egalitarian partnership with key external stakeholders and different programs
  • Work closely with program coordinators to formulate educational support strategies
  • Coordinating activities across different organizational functions
  • Building awareness of student support systems/services and students' use of the Tutoring Centre
  • Manage Tutoring Centre operations to include supervising staff and volunteers

Project Management

  • Proposal Writing for existing program or for innovating new programs
  • Project progress presentations and periodic reports
  • Plan and coordinate with internal departments to foster cultural inclusive events
  • Coordinate events planning procedure to promote professional development and Canadian work ethics
  • Monitor Special projects delivery against timelines and deliveries

Operations activities

  • Plan and coordinate sensitization programs each semester through class visit within the first two weeks in each semester. Class visits are staggered by program each semester.
  • Visit classes and present the tutoring presentation to the class. And provide the information on how to book an appointment
  • Collate and present the Tutoring Centre monthly meeting record, and provide annual report of the Tutoring Centre
  • Develop yearly strategic plan for the Tutoring Centre, based on needs assessments
  • Plan, organize and facilitate students' involvement in mentoring and student support services
  • Facilitate student's academic based initiatives that benefits the college and students. (DSC
  • Developers Student Club, LinkedIn Learning, Students Ambassadors, Business Caucus, PM Guild)

Educational Leadership

  • Coordinate Tutoring Centre and LinkedIn Learning workshops for students based on need assessment or Instructor request
  • Plan and deliver Speaker Series for students, both on campus and online

Organizational Management

  • Lead and coordinate student support initiatives and transition plans for the Tutoring Centre each semester.
  • Coordinate with Tutoring team to manage academic support initiatives

Strategic Planning

  • Assists with the strategic planning process including establishment of goals/priorities; key result areas; strategic plan outcomes; and approval of process and timelines

Personnel Management

  • Conducting the interviews and provide training to the tutors on booking appointments and the use of the appointment software (Setmore)
  • Develop and update the Work Instruction Document, which contains all the required information and detailed steps to perform the Tutoring Centre activities.
  • Supervise the audit of monthly appointment report to examine the use of the Tutoring Centre, for example, the number of confirmed, cancelled, and rescheduled appointments
  • Support with administrative duties, when required (student Registration and student support services)
  • Collaborate with various stakeholders during the execution of KPI Surveys
  • Plan and present at Faculty Professional Development events as requested
  • Lead and coordinate Student Ambassadors, and collaborate together to conduct activities during orientation and convocation events.

Communications and Community Relations

  • Coordinate and organize the appreciation Luncheon event
  • Work with Tutoring Centre team to update Moodle/LinkedIn posts, including terminologies of each program; and create the videos of tutors meeting, testimonial and final session's video on Adobe Premiere
  • Collaborate with team to design the new artifacts of the Tutoring Centre to represents the service offered by the LCIT Tutoring Centre
  • Lead activities for new workshops, exam preparation tips and additional help during exams and post it on the Moodle
  • Support the Organization on diverse On-Campus Events
