How will you contribute to the team?

  • Prepare, correct and format documents such as letters, proposals, spreadsheets, MS Project schedules and PowerPoint presentation.
  • Prepare Work orders and fill out administrative related forms.
  • Organize and set up conference calls, video conferences, meetings, catering, and arranging the scheduling, invitations and confirmations of meetings and booking of appropriate boardrooms for senior management.
  • Collect relevant material and documentation for the meeting.
  • Attendance at meetings, compiling meeting minutes.
  • Create and maintain electronic and paper filing systems for correspondence, invoices, timesheets and other communications both incoming and outgoing.
  • Assist in daily administrative duties and tasks.

What will you contribute?

  • Postsecondary education in a related field with relevant work experience.
  • 15 years of experience in an administrative role.
  • Experience in Electrical Utility industry in an administrative role with form filling experience will be an advantage.
  • Customer service experience.
  • Sound knowledge of MS Office (Outlook, Word, Excel, PowerPoint and MS Project).
  • Working knowledge of Enterprise Resource Planning (ERP tool) SAP will be asset.
  • Detail oriented and able to work in a fast paced environment.
  • Able to work with confidential documentation. Familiarity with an environment requiring absolute discretion and mature judgment.
  • Excellent communication skills, ability to deal with all levels of staff effectively and efficiently.
  • Exceptional time management, multitasking, planning, interpersonal and organizational skills.
  • Professional attitude and meticulousness.
  • Autonomous and resourcefulness.
  • Bilingualism French/English (Oral and Written) will be an asset.
