OVERVIEW:
Reporting to the Northern Program Manager and with guidance from the Hollow Water Community Coordinator, the Administrative Assistant will provide administrative support to the Program in Hollow Water FN.
KEY RESPONSIBILITES:
- Provide general administrative support within Hollow Water.
- Attendance of the Northern Program Foster Homes to conduct Weekly Home and Maintenance Checks, as well as providing support to the House Parents, Support staff.
- Participation in the recruitment of Support Workers / House Parents by collecting and assistance in filling out Prior Contact Checks, Criminal Records Checks, Child Abuse Checks, as well as interview scheduling and creating new employee files.
- Sending documents to the citybased unit (Case Managers, Support Work Coordinators, Communities Admin).
- Assist or fill in for Community Coordinator to respond to crisis in the home.
- Track monthly program statistics, compose, and manage correspondence, and reports.
- Perform other administrative duties such as schedule appointments, data entry, maintain filing systems prepare documents, photocopying, scanning, and faxing. Multitask day to day duties and provide support where required.

- Assisting Community Coordinator with duties such as booking out the visiting home, reviewing and submitting timesheets/case recordings, coordinating with SECFS and the visiting/transport schedule, and other duties as necessary.
- On call duties as needed.
QUALIFICATIONS:
- High school graduate and a minimum of two years of administration experience.
- Strong interpersonal, oral, and written communication skills is considered an asset.
- Proficient in computer programs including MS Word, Excel, Power Point and Outlook.
- Strong organizational and problemsolving skills with ability to work independently as well as part of a team.
- Ability to maintain the highest level of confidentiality.
- Ability to take direction and to work within the policies, procedures and guidelines and the organization's mission, philosophy, and core values.
- Must provide a current satisfactory Criminal Record Check (including Vulnerable Sector), Child Abuse Registry and Prior Contact Checks as a condition of employment.
- Successful applicant(s) will also be required to provide proof of COVID19 vaccination prior to start date.
- Must a valid Manitoba driver's license and a reliable vehicle.
