General Accountability: - Reporting to the Manager
- Occupational Health this position is responsible for providing administrative and support services to the various areas of the Occupational Health & Employee Wellbeing section, i.e. Health and Wellbeing initiatives, Medical Surveillance Programs, Pre-placement Medical Services, and other Occupational Health Programs. The incumbent provides administrative and clerical support to the Director
- OHEW and Manager
- Health & Wellbeing; assists with coordinating and scheduling various medical programs and health and wellbeing initiatives; maintains tracking systems/databases, including the section's statistics and reporting, computer system updates and employee files; and provides support in preparing medical/claim files for release. The position has accountability for the timely dissemination of information such as legal file requests and medical surveillance results, as well as ensuring that the required administrative support is provided to the section staff. Works to ensure accuracy of data for reports that may affect decisions made by management and section activities.
Key Job Functions:
- Performs a variety of administrative and clerical duties to support the work of the Occupational Health & Employee Wellbeing (OHEW) Section:
- Co-ordinates schedules, and liaises with employees, work locations and vendors for various medical programs and Health and Wellness initiatives;
- Prepares medical/claim files for release in accordance with OHEW policy and procedure and the Personal Health Information Protection Act
- Assists with scheduling section appointments and meetings;
- Receives various medical reports and test results, reviews and inputs relevant information into internal tracking and/or data management systems; flags reports and results for manager review and follows up with work locations as require
- Runs and creates various reports using internal data management systems, and distributes as required;
- Provides administrative support through filing, photocopying, updating data management systems and other clerical tasks as required;
- Receives and responds to incoming calls to the section ;
- Maintains continuity of work operations through documenting and communicating required actions to management.
- Tracks, processes and submits section attendance;
- Update and process the Disability Management Reports;
- Grievance tracking and scheduling Greivance meetings between OHEW and Union;
- Maintains and updates OHEW ShareDrive;
- Document and maintain OHEW section processes/procedures, including Medical Directives being developed by the Medical Consultant;
- Prepare and process all section statistics and monthly reports as well as ad hoc information and reports as requested
- Maintains the Parklane System database, identify errors or anomalies in data; and coordinates the maintenance and update of the Parklane System with ITS Department staff and the vendor;
- Processes intranet requests and updates/changes to maintain the section's corporate intranet site;
- Handles the section's IT requests;
- Serves as backup for Contracts, Reporting & System Administrator and Claims Adjudicator, Administrative Assistants as required;
- Performs other related duties as assigned;

Education and Experience:
- A completed University Degree or College Diploma
