Job Description:


In this role, you are an integral in keeping productions flowing smoothly and effectively, coordinating multiple projects, and meeting deadlines in a fast-paced environment supporting our MARCOMM department.

You will provide administrative support to the Production Manager by making production purchases and reconciling expenses in a timely manner, creating invoice purchase order requisitions, support the team with entry, distribution and archival of vendor contracts, book meetings with necessary stakeholders to keep productions on track, support with production process updates.

Supporting productions with various duties including but not limited to, location/set scouts, catering requests, waivers, insurance, supporting in booking production travel, and provide project support for our creative studio as the need arises.

To be successful in this role, you need to be highly organized and detail oriented. You pride yourself in accomplishing tasks quickly and efficiently. You are agile and can adapt to time-sensitive requests on the fly.

You are a creative self-starter with an ongoing awareness and responsiveness to client satisfaction with the ability to coordinate multiple projects across internal MLSE departments, meeting deadlines in a fast-paced environment.


Responsibilities:


  • Coordinate all approved production purchases (Set décor, props, catering, etc.) while obtaining necessary information including receipts and documentation, production information and business purpose to reconcile in a timely manner within Concur
  • Creating Invoice Purchase Order Requisitions (Crew Invoices and Company Invoices) through Oracle
  • Communication between Internal and External Stakeholders, including document distribution
  • Book Project Retrospective Meetings
  • Book Project Wrap Meetings


  • Calendar Updates

  • Production and Post Production through Airtable and Outlook
  • Production Process Updates (Ongoing)
  • Contract input for all vendors across projects; track contracts from brief through to archival
  • Project invoice submissions and tracking
  • Visibility and organization of MLSE Vehicle fleet sign outs through trackers in Airtable
  • Schedule courier services when required
  • Coordinate creative studio production requests as needed in conjunction with video production execution

Qualifications:


  • Experience and understanding of video production with multiple styles of content capture and a focus on clientdriven content campaigns
  • Organization and poise with video production business administration tasks
  • Outstanding verbal and written communication skills; proven ability to listen, understand and communicate effectively
  • Confident in gathering feedback and presenting solutions
  • Ability to coordinate multiple projects and meet deadlines in a fastpaced environment
  • A creative selfstarter with an ongoing awareness and responsiveness to client satisfaction
  • Excellent presentation, organizational and time management skills
  • Demonstrated ability to build and develop professional relationships
  • Passionate, committed, outgoing, enthusiastic, reliable and works well within a team environment
  • Proficiency with Microsoft Office software and systems
  • Ability to assess scope of work and troubleshoot quickly, and take
