- Ensure accuracy and integrity of information through the effective execution and maintenance of capital planning records and related processes and procedures. Ensure the alignment of capital work with the capital planning/expenditure/budget WBS structure, financial asset applicant structure, and product model activity types.
- Review SAP project notifications for completeness and contact others to obtain or provide information. Assign and release WBSs for specific capital work. Update capital planning Forecast Spend Reports, including input of the project expenditure plan (Board Approved Budget, variances and year end forecasts). Attend to requests for information and support in solving related problems.
- Receive, interpret and communicate a variety of information regarding requests for work notifications, asset records to support various groups. Ensure accuracy and completeness of requested work in accordance with product models and contact others to obtain or provide information. Prioritize, release and redirect requested work to various internal and external work groups for execution; ensure accuracy in work order instructions.
- Prepare, update, maintain, initiate and monitor corrections to master data in SAP and GIS for assets including changes to and removals of assets. Investigate and resolve data integrity issues. Review databases, drawings, and other records to identify and resolve sources of error.
- Examine work completion records and reports for correctness. Ensure function locations and as-builts have been created, agreements are prepared and completed by planners, identify discrepancies, initiate field checks as required and in consideration of existing records make corrections to SAP master data.
- Prepare, run and analyze reports including; establish parameters within SAP to extract information, update databases, import, transfer, and download files from other sources. Perform a governance role to ensure adherence and compliance with standardized capital work procedures and processes. When appropriate, identify deficiencies created by other groups and initiate action to have the groups correct the deficiencies.
- Collaborate with others regarding the development and implementation of capital planning processes and procedures specific to capital improvements. Identify, investigate, recommend and implement resolutions for capital planning process issues.
- Provide capital planning business process and system use support to others including the preparation and delivery of training materials, step by step instructions, explanation of related processes and procedures to enable overall understanding of asset capital improvement requirements.
- Performs related duties of a minor nature related to the above duties which do not affect the rating of the job.
- Grade 12 and completion of courses in office practices and business communications.
- Two (2) years recent, related experience.
- Working knowledge of computer systems operations, environment and peripherals.
- Working knowledge of various software applications required to support Asset Management (SAP, GIS, IC Web, CAFÉ, FileNet) and the MS Office Suite.
- Knowledge and understanding of the types of assets operated by FortisBC as well as Standards pertaining to Asset Management.
- Knowledge of field operations (Capital Works, Operate & Maintain, and Order Fulfillment) and maintenance processes including field reporting requirements and the ability to understand, respond to and approve or defer requests for low risk corrective repairs.
- Ability to communicate effectively both verbally and in writing.
- Courteous, professional manner in dealing with others including positive interpersonal skills and the ability to work in and contribute to a team environment.
- Organizational skills including the ability to multi-task, prioritize, and work under pressure during peak workload periods and to meet tight deadlines.
- Initiative, ability to work with limited supervision and direction.
- Strong analytical, problem solving and research skills.
- Fast, accurate keyboarding skills.
