The Faculty Relations Officer will report to the Manager, Academic and Research and will work closely with the additional Faculty Relations Officer, Faculty Academic Deans' Assistants, and the Department of People and Culture for all faculty relations related activities.

This position requires good judgment, common sense, exceptional attention to detail, adaptability, and the ability to work under very challenging time constraints and conditions due to various priorities within the Academic & Research office.

This position requires a high degree of confidentiality due to the sensitivity of faculty relations matters that will be supported.

This position is expected to act as a visible contributor to a positive, healthy and progressive workplace culture.


RESPONSIBILITIES

A. Faculty Recruitment, Orientation & Training

  • Coordinate interview process for fulltime faculty in collaboration with Academic Assistants
  • Track and regularly update fulltime faculty requirements, including, but not limited to, workload, banked credits, course releases, sabbaticals, annual reports, vacation, retirements,and Professor Emeritus
  • Track relevant FT faculty workloads each semester, and issue overload contracts in consultation with the Faculty Academic Deans, in alignment with the fulltime and parttime (PT) Collective agreement stipulations (FTCA and PTCA)
  • Track new and incoming FT faculty hires and liaise with academic department chairs and Faculty Academic Deans to ensure that courses are being held for new incoming hires (i.e. not advertised to PT faculty), aligned with the expertise of the hires and the current course roster as well as the academic plan of the respective department or program
  • Design and maintain training materials and regularly provide training to fulltime faculty members, as per the parttime collective agreement requirements (eg: Formal Teaching Review process and Parttime Appointments Committee process)
  • Assist with new Faculty Orientations that occur each term on all campuses.
  • Facilitate the RightofFirst-Refusal (ROFR) evaluation process including, but not limited to, submitting the list of parttime instructors to be evaluated, training the committee, followingup with the Faculty Academic Deans' Assistants to ensure the process is complete by the deadline as listed in the FTCA, receiving recommendations from the Faculty Academic Dean's, receive approval from the Vice President, Academic & Research (VPAR), notify the instructor of the decision, and updating the seniority credits listing
  • Update and maintain the ROFR records to ensure that entitlements are valid
  • Create a current seniority credits list each term to be provided to all PT members, including the PT Vice President of OPSEU local 685, and communicate with Financial Services on an updated seniority credit list to update Professional Expense Reimbursement Fund (PERF) balances
  • Responsible for regular and accurate electronic records management, including the creation of new files when projects/initiatives commence, as well as the requesting of, and contribution to, current files
  • Ensure that the Payroll Officer has an updated enrolment list each semester for the purposes of calculating salaries of PT faculty teaching asynchronous online courses
  • Enter personnel changes to applicable systems and prepare administrative reports (e.g. new hires, transfers, and terminations)
  • Liaise with the department of People and Culture and the Faculty Academic Dean's Office to continuously improve onboarding processes
  • Liaise with the departments of People and Culture and Innovation & Technology to continuously improve offboarding processes
  • Ensure compliance with the relevant Faculty Fulltime (FTCA) and Parttime (PTCA) Collective Agreements, and with institutional procedures and guidelines
  • Generate and maintain a list of required/suggested updates to the FTCA and PTCA to be addressed in bargaining
  • In consultation with the Faculty Academic Deans, regularly and critically evaluate, revise and update relevant faculty relations policies, procedures and practices

B. Other Duties

  • Assist with organization of annual events for faculty
  • Other duties as required and assigned by the Manager, Academic & Research
