Summary:


This position is responsible for assisting procurement staff with background research and preparation of tender documents, which incorporates use of the City's Bids and Tenders website.

It also involves analyzing City purchase history by obtaining pricing, ordering and expediting goods and services. Responsibilities also include working with Stores staff to maintain inventory stock at appropriate levels.


Duties and Responsibilities:


  • Assist in obtaining necessary data and drafting specifications for goods or services to be ordered for small dollar purchases and stores items.
  • Under direction, place orders on the basis of price, quality and/or delivery date, maintain followup and expedite delivery and process receiving reports.
  • Provide information for other Departments, such as prices, sources and delivery dates and to reconcile stores inventory at year end and take physical stores inventory.
  • Maintain strong relationships with vendors. Manage annual contracts and provide issue resolutions under the direction of the Purchasing Agent.
  • Operate computer terminal to update and retrieve information to prepare tenders and quotations, to identify obsolete stock and to produce statistical reports as required.
  • Maintain the Purchasing card program, Issue cards, provide program support and conduct analysis and reporting.

Position Requirements:


  • Completion of a two (2) year College Diploma in Business Administration or Accounting.
  • A minimum of one year of purchasing experience in a municipal or government setting and eligibility for enrollment in National Institute of Government Purchasing Program.
  • Must be eligible to enroll in purchasing professional certification programs, such as the Purchasing Management Association of Canada (CPP) or the National Institute of Government Purchasing (CPPB or CPPO) ,and be willing to work towards one of these recognized certifications.
  • Strong communication skills including the ability to deal effectively with people at all levels.
  • General knowledge of stores and inventory control methods and procedures.
  • Working knowledge of and experience with computerized financial systems.
  • Proven completion of Ministry of Labour Worker Health and Safety Awareness training.
  • A demonstrated commitment to enhancing a safety culture.

CUPE 157 Pay Group 6 - Minimum $53,960 annually; Maximum $59,935 annually


Expected Work Location:
City Hall (eligible for some remote work)


Hours of Work:
Currently Monday-Friday 8:30am - 4:30pm


THIS IS A TEMPORARY POSITION FOR APPROXIMATELY TWELVE (12) MONTHS
