Support Staff Full-time Replacement Position

(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)


This position will provide administrative support to the Manager, Cowan Health Sciences Centre (CHSC) in day-to-day operations along with clerical support for Open Access labs, remediation, and special projects.

The incumbent is the point of contact for booking and scheduling for the Simulated Participant Program.


Responsibilities:


  • Assists with the daytoday operations of the CHSC which includes processing incoming/outgoing correspondence, monitoring action items and commitments, responding to and initiating followup actions
  • Prepares templates and maintains documentation for departmental processes and systems
  • Maintains and assists with arranging the Agora, classroom, and lab furniture, fixtures, and equipment in the CHSC and storage, and communicating with Facilities Management, when required
  • Supports Audio/Visual (AV) requests outside of Simulation and provides Faculty with orientation to AV systems, when required
  • Compiles and prepares agendas, gathering documentation for meetings, acts as notetaker, and circulates meeting minutes
  • Provides information on departmental policies and procedures for students, faculty, and visitors to the Cowan Health Science Center (CHSC) and assists with reception duties in the CHSC Agora as required
  • Provides tours for prospective applicants, current students, etc.
  • Arranges orientation for new full and parttime faculty to the CHSC
  • Tracks credit card purchases by maintaining a detailed database and reconciles purchases
  • Prepares work order requests for manager approval and coordinates follow through with Facilities Management
  • Acts as the point of contact for the Simulated Participant (SP) Program; facilitates the booking and scheduling process and provides clerical support
  • Supports onboarding, training, and debriefing for SP program as directed by the Manager
  • Prepares templates and maintains SP Program documentation and systems including generation of contracts
  • Participates in simulation events as required

Qualifications:

  • Twoyear Diploma in Office Administration, Business, Communication, General Arts and Science, Humanities, Social Science, or related fields of study
  • Minimum of three years practical experience in a fastpaced revenue generating department, preferably within an educational organization
  • Experience and education to include advanced level Microsoft Office courses and working with databases and Excel
  • Experience working in the education sector would be considered an asset
  • Knowledge of Learning Management Systems (LMS) is considered an asset
  • Excellent organizational skills, as well as oral and written communication skills
  • Excellent interpersonal skills with the ability to communicate professionally, tactfully, and diplomatically
  • Strong problemsolving skills with the ability to take initiative on tasks
  • Bookkeeping experience would be an asset
