Job Summary

  • The Faculty of Arts and Social Sciences (FASS) is dedicated to delivering the highest quality arts, humanities and social science education in Canada consistent with our standing among the top fifteen universities in the country. The Administrative Coordinator is responsible for wideranging administrative functions in the Dean's Office to ensure excellent services in support of the Faculty. Reporting to the Director, the position supports the Director of Finance and Administration and two Associate Deans (Academic and Research) with financial, academic, and researchrelated processes. The position provides program support for Facultylevel course offerings including timetable coordination, calendar updates, and teaching assistant (TA) hiring.

Key Responsibilities

  • Serves as the first point of contact in the Dean's Office for all faculty/department matters related to the Director and Associate Dean portfolios. Acts as a resource to staff and faculty, providing process and policy guidelines, responding to inquiries, and resolving issues.
  • Provides support to the academic development committee and the research development committee; schedules meetings, prepares materials, records decisions and approvals.
  • Tracks expenses and administers funding processes related to equipment and furniture, travel, research development, TA allocations, and other special purpose funding. Prepares financial documents such as journal entry forms and payment requests.
  • Coordinates undergraduate calendar process and reviews changes.
  • Responsible for daytoday maintenance and facilityrelated matters for the faculty; acts as point of contact for Facilities Management.
  • Provides support for other administrative duties in the Dean's Office, for example, room bookings, special event coordination, and records management.

Note
Due to operational requirements, the successful applicant is required to work primarily in-person on campus.

Required Qualifications

  • Business/Office Administration diploma with three to five years' related experience (or equivalent combination of training and experience).
  • Experience with general administrative functions and in providing excellent client services.
  • Ability to prioritize workload including multiple concurrent demands.
  • Excellent judgment as well as tact and diplomacy.
  • Ability to write concisely and clearly, using inclusive, respectful language in all communication.
  • Proficiency with Microsoft Office Suite. including Excel.

  • Experience working in a university environment or other large, complex organization.
