- Manage client appointments flow to maintain confidentiality and prevent overcrowding
- Handle switchboard operations and efficiently direct incoming calls
- Organize and assign office space for clinicians, visiting staff, and clients
- Ensure secure and efficient transfer of client documents
- Coordinate clinical schedules and communicate any changes to clinicians
- Address scheduling issues and assist in rescheduling clients
- Distribute office communications, including property management details when necessary
- Manage office and kitchen supplies
- Communicate with building maintenance and vendors
- Collect billing details from self-paying clients, generate invoices and payment arrangements, process payments, and provide receipts
- Monitor and document client attendance for evening groups
- Generate and share regular and ad-hoc reports
- Support special projects related to clients or staff
- At least 2 years of experience in a professional office and customer service environment
- Familiarity with Word, Excel, and PowerPoint, and comfortable with various technical platforms
- Post-secondary education with courses in psychology and/or business administration is advantageous
- Strong organization and time management abilities
- Outstanding oral and written communication skills in English; proficiency in French is a plus
