To support us on our journey, Sinai Health System is looking for a
Medical Secretary to support our
Department of Obstetrics and Gynaecology, Division of Urogynecology at
Mount Sinai Hospital.

As a Medical Secretary you will provide administrative and secretarial support to appropriate section head(s) and the department.


RESPONSIBILITIES:

  • Responsible for patient registration and appointment booking activities
  • Enter patient information into billing/scheduling system and prepare patient files/folder prior to patient visits
  • Collect all outstanding laboratory and other diagnostic results prior to patient visit
  • Register all ambulatory visits into Cerner PM Launch
  • Dictation/word processing; evaluation of daily mail and faxes
  • Prepare daily patient visit lists for physician(s)
  • Answer telephone line; respond to internal and external inquiries within scope of responsibility and direct all calls appropriately to nursing staff, physician and laboratory
  • Coordinate OR bookings for patients as well as Short-Stay and EOPS
  • Update OR wait list on a regular basis
  • Record daily patient visit statistics for monthly submission to Finance Department
  • Responsible for physician billing; input OHIP and nonOHIP claims on a daily basis and perform all necessary followup on unpaid claims including correction and resubmission of claims error reports and OHIP inquiries
  • Prepare examining rooms in terms of setting up and maintaining linen during physician's clinic day; placing patients in examining rooms in queue
  • Responsible for maintaining consultation rooms stocked with necessary equipment; maintains and orders office stationary supplies
  • Responsible for booking followup patient appointments in ultrasound, radiology and other departments
  • Coordinate meetings and maintain schedules
  • Assist with research grant preparation & abstracts if required
  • Perform other related duties as assigned by supervisor.


  • Job Requirements

  • Successful completion of a college diploma preferably in the field of Office Administration or Business Administration from an accredited educational institution
  • Minimum two (2) years of recent secretarial experience preferably working in a clinic/health environment
  • Experience with EMR Accuro preferred
  • Proficient in Microsoft Word, Excel, Power Point, Outlook.
  • Applicants with proven equivalent recent and related training and experience may be considered.
  • Medical dictatyping skills (at least 50 wpm)
  • Selfdirected with an ability to make decisions and to exercise good judgment.
  • Superior organizational and time management skills with a flexibility to adjust to priorities.
  • Demonstrated professionalism and ability to work independently
  • Effective verbal and written skills (Spanish or Portuguese speaking an asset)
  • Demonstrated ability to work with a variety of individuals in a cooperative manner both independently and as part of a team.
  • Ability to work accurately and effectively in a fast pace/stress environment.
  • Demonstrated customer service skills and ability to sensitively communicate with patients/families in vulnerable situations.
  • Demonstrated satisfactory work performance and attendance history.
The successful applicant will be an employee of the Obstetrics & Gynaecology Department not Mount Sinai Hospital.
