Responsibilities Include providing clerical and administrative support; coordinating meetings; tracking budgets; reconciling purchasing cards; booking facilities; coordinating communications; and supporting operations of the Recruitment and Learner Engagement portfolio.
    Job Duties/Responsibilities
  • 1. Provides administrative and clerical support to the department as assigned. Coordinates meetings and provides administrative support for chaired meetings, including preparation and distribution of agenda and supporting materials, attending meetings, preparing, and circulating minutes and taking appropriate followup action as required.
  • 2. Tracks budgets within the Recruitment and Learner Engagement portfolio as assigned including preparing and recording semiannual and yearend budget information.
  • 3. Reconciles the department purchasing cards monthly; creates and reviews web requisitions for Department purchases.
  • 4. Supports the Department by booking facilities, maintaining an inventory of recruitment and office supplies, and ordering and shipping when necessary.
  • 5. Liaises with other College areas about student recruitment activities and conversion events and services.
  • 6. Coordinates communications with partners concerning the events the Department is involved with and oversees related activities that support events, working closely with internal/external partners.
  • 7. Establish and maintain effective working relationships with all members of the College community including administration, faculty, support staff, students, external partners and the public.
  • 8. Supports the operations of the Recruitment and Learner Engagement portfolio.
  • 9. Performs other duties as required.
    Qualifications

Education and Experience

  • Completion of Grades 12, supplemented by over 2 years of post secondary education, including courses in office administration.
  • Two years of related office administrative experience including experience providing project support; or an equivalent combination of education, training, and experience.

  • Excellent written and verbal communications skills.
  • Ability to think critically, prioritize work, multitask, and meet deadlines.
  • Ability to coordinate events as directed.
  • Proven ability to manage multiple tasks and provide project support simultaneously.
  • Ability to work independently with minimum supervision and as part of a team.

Salary Range - Prorated based on FTE
