Qualifications:


  • Two years of current relevant experience required. Previous experience in database/statistical management reporting duties
  • Preferred health care setting experience
  • Effective, respectful and clear communication.
  • Typing speed minimum of 80+ words a minute.
  • Understanding of medical and psychiatric terminology.
  • Understanding of file systems.
  • Ability to work independently, and as a team member with mínimal supervision.
  • Independent problem solving skills and excellent work habits.
  • Demonstrated selfdirected learner.
  • Must strive to continuously provide a safe and supportive environment for patients, staff, physicians, and volunteers
  • Must adhere to the duties of workers, as stipulated in the Occupational Health and Safety Act
  • Must have an ability to effectively communicate (written and verbal) in the English language in order to provide excellent communication with team members, patients and families. Ability to communicate in additional language(s) is considered an asset.
  • Must have basic computer skills
  • Must be dedicated to professional growth & development
  • Must be able to perform all bona fide and essential duties of the position, which may include physical demands such as moving/transferring patients, pushing, pulling, bending, etc.
  • Must have demonstrated excellent attendance/performance record

  • Ability to work independently and effectively communicate with other members of the health care team

Duties and Responsibilities:


  • Provides administrative assistance and clerical support to the Manager, Chief of Psychiatry and the Psychiatry team, including scheduling of patients and other tasks.
  • Maintains and oversees effective clerical support service to Outpatient Mental Health Services.
  • Greets patients and their families upon their arrival, providing a warm welcome.
  • Responsible for maintaining Mental Health program statistics that meets the requirements of our reporting structures.
  • Responsible for receiving and returning calls from patients, families, physicians and other community agencies/services, and supporting their call and redirecting when required.
  • Active participation in the Hospital's Health and Safety Internal Responsibility System, which includes maintaining accountability for the defined responsibilities listed in applicable legislation, policies and procedures.
  • Actively contributes within the scope of the position to the enhancement of the patient experience through continuous improvement, learning, and teamwork, with the goal of creating an environment that is caring, inclusive, respectful, patient and familycentred with a focus on excellence, innovation and safety.
  • Assist with processing new referrals and discharges.
  • Maintains and orders office supplies and equipment, receiving sign off approval when required.
  • Coordinate OTN meetings and training sessions as required.
  • Responsible for keeping the Outpatient Mental Health Schedule current and forwarding sign in sheets to the payroll office.
  • Assist with other administrative tasks such as scanning documents for the patient record, medication renewals, filing and as assigned.
  • Attending team meetings, prepare agenda in collaboration with the Manager, responsible for taking minutes and distributing.
  • Participate on committees as requested.
  • Assist with training and orientation of new team members when required.
