Description

Reporting to the Field Services and Warehouse Manager, the Administrative Assistant - Installations is responsible for processing of service orders, preparation and distribution of related reports and works collaboratively with the installation team.


Main Duties:


  • Receives daily work orders from Customer and update customer database. Prepares, enters, edits and proofreads daily correspondence, invoices, publications and reports.
  • Create SROs (Service Request Orders) in customer database system. Coordinates flow of information internally and externally.
  • Schedules and confirms appointments and meetings. Follows up to ensure deadlines are met.
  • Orders required office and installation supplies as required.
  • Maintains customer database including creation of new customers.
  • Main point of contact for installers regarding SROs. Answers telephone and electronic inquiries from client and installers regarding scheduling, inventory and installations.
  • Reviews and verifies completed SROs submitted by installers.
  • Shipping and editing of SROs in system.
  • Updates product status in client system. Ensures paper and digital files are maintained accurately.
  • Documents internal meeting notes and shares as required.
  • Generates and distributes weekly and monthly reports.
  • Prepares, reviews and distributes Weekly Installations reports.
  • Manage special projects.
  • Extracts GMO/Direct shipment report from system weekly and submits to management.
  • Compile data, statistics and other information regarding new programs and installation figures using advanced Excel functions or other data mining and report writing software.
  • Crosstraining with team members to ensure full coverage of department.
  • Reviews and files installation verification pictures.
  • Trains other staff members in procedures and current software.
  • Performs other reasonable tasks as required.

Requirements:


  • A Diploma or degree in a related field
  • Outstanding communication and customer service skills
  • Excellent attention to detail and organizational skills
  • Selfstarter with the ability to work independently
  • Ability to multitask and prioritize to meet deadlines
  • Proficiency in Microsoft Excel and Word
  • Knowledge of ERP systems, and report building software
