About the Job:


The Facilities Coordinator is responsible for planning and overseeing all office facilities services for the company. This includes coordinating and communicating office activities, supplies and stationery, assistance with implementation of health regulations, and general troubleshooting. This role will be responsible for overseeing contract execution for custodial, maintenance and leasehold improvements that are completed safely, in a timely manner and provide employees with safe, accessible and secure facilities.

This position is expected to display a high degree of personal initiative and must be able to identify and resolve facilities related problems independently with mínimal guidance and/or supervision.

Responsibilities:

Building Maintenance and Upgrades

  • Coordinate maintenance and improvements for our facilities, furnishings and material handling equipment which include grounds maintenance, painting, carpentry, HVAC, plumbing and electrical systems
  • Arrange for E-Waste environmental pickup
  • Manage the building security, such as the assignment of keys and alarm codes for approved personnel
  • Identify, plan and implement opportunities for improvement, including amenities, processes, procedure

Health and Safety

  • Comply with the guidelines of the Occupational Health & Safety Act and promote a safe, secure and healthy work environment.
  • Occupational Health and Safety training course certifications to provide input for emergency and evacuation procedures i.e. fire, gas leak, water leak, etc.
  • Champion and maintain physical security protocols for facilities
  • Work closely with Joint Health and Safety Committee to execute inspection checklists for buildings, equipment, and systems to identify any safety or building issues

Other

  • Procure and stock supplies of general office supplies, office furniture, and other equipment
  • Provide general support to visitors
  • Backup travel coordination duties
  • Requires travel between offices and to various vendors to purchase and pick up supplies as needed

Requirements:


  • Diploma in Business or Office Administration or acceptable combination of education and experience.
  • Drivers license
  • 3+ years of direct work experience in an office management or facility management capacity.
  • Knowledge of procuring supplies, equipment and services.
  • Strong knowledge of software systems including Google Suite and/or Microsoft Office products, including Excel, Word, and PowerPoint.
  • Excellent analytical and problem solving skills
  • Meticulous record keeping skills.
  • Superior telephone manners and strong interpersonal skills
  • Strong customer service orientation
