Administrative Assistant - Business Development, Marketing & Estimating

The Administrative Assistant will provide support to our Business Development, Marketing, and Estimating Department, playing a crucial role in facilitating the smooth operation of these key areas.

The role will provide comprehensive administrative support to the departmental leaders and contribute to the efficiency and effectiveness of our business development strategies, marketing initiatives and estimating processes.


Key Responsibilities include but are not limited to**:

  • Assist in the preparation and formatting of presentations, reports, and proposals.
  • Maintain accurate records of business development activities, including client communications, contracts, and proposals.
  • Coordinate the production and distribution of marketing materials, such as brochures, newsletters, and digital content.
  • Support the estimating process by organizing bid documents, tracking bid invitations, and assisting in bid submission preparations.
  • Serve as a point of contact for internal and external stakeholders, addressing inquiries and relaying messages promptly.
  • Assist with event planning and coordination for business development and marketing activities, including conferences, trade shows, and client meetings.
  • Conduct research and gather data to support business development and marketing strategies.
  • Perform general administrative tasks, such as filing, copying, scanning, and ordering office supplies.
  • Backup reception coverage and other duties as assigned to meet business unit and corporate objectives.

Position Requirements

Educational & Professional Requirements:


  • Bachelor's degree Business Administration, Marketing, or a related field is preferred but not required.
  • Proven experience (13 years) in an administrative role, preferably in a business development, marketing or constructionrelated environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software.
