Job Description:


The Property Administrator is a member of the property management team and is a fellow ambassador for our brand and community.

This role will be part of the opening of one of Canada's largest and most significant developments.


The Property Administrator, reporting to the Community Manager, is a professional with a practical mind, organized, punctual and has great attention to detail.

The role is responsible and accountable for administration of resident accounts, including rent collection, purchase orders and invoicing, issuing of legal and property notices, assisting with leasing administration and supporting the management of the property management office and team, are completed on a timely basis, collaboratively, with accuracy and strong knowledge to ensure full completion f tasks and resident satisfaction in alignment with procedures and service level agreements.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Customer Service:

  • Act with integrity and demonstrate support for our core values.
  • Maintain an overall focus on enhancing the resident experience.
  • Provide administrative support to the assistant community manager, community manager, director, maintenance, and leasing departments. This includes preparation of notices and other resident correspondence.
  • Participate in the daytoday management of the property management office including replenishing supplies, answering phones, greeting residents and visitors, keeping a clean and tidy working environment.
  • Keeping secure and properly organized files such as contracts and resident files.
  • Manage rent collection and delinquency rents.
  • Assist with generating purchase orders.
  • Listen and provide assistance to residents and guests in conflict situations.
  • Follow up on invoicing and ensure invoices are submitted properly and, paid in a timely manner.
  • Be able to show suites to prospective residents and, conduct property tours if needed.
  • Demonstrate and maintain professional relationships with internal team members, direct reports, leadership, and vendors.
  • Issue mandatory forms under the Residential Tenancies Act on time and keep uptodate records of certificates of service.
  • Participate in resident events and provide support if required.
  • Provide exceptional customer service when interacting with residents and vendors.
  • Courteous and prompt communication with team members and management.

Health & Safety:

  • Follow prescribed Personal Protective Equipment (PPE), health and safety regulations and procedures in compliance with Ministry of Labour laws.
  • Ensure compliance with all legislation, including but not limited to, the Residential Tenancies Act, Employment Standards Act, Fire Code, and O

EDUCATION, EXPERIENCE AND SKILLS:

  • High school diploma required, College diploma or trades certification in relevant field preferred.
  • Two or more years' experience in real estate property administration; knowledge of affordable housing is an asset.
  • Selfstarter with high degree of initiative and professionalism.
  • Exceptional communication (written and verbal) and interpersonal relationship skills.
  • Strong command of MS Office products and Yardi an asset.
  • Detailoriented; ability to resolve problems using facts, sound reasoning and common sense.
  • Intermediate knowledge of the Residential Tenancies Act is an asset
  • Ability to work with a diverse group of people and interests while being culturally aware.
