The Opportunity:


The Housing Administrative Assistant position provides cross departmental support to a range of areas related to the day-to-day administration and customer service functions associated with the Housing Accelerator Fund (HAF) deliverables.

This position serves as a central point of contact for cross-departmental collaboration and ensures the smooth execution of administrative tasks essential to the success of housing projects and programs within the City of Airdrie.


Primary accountabilities include:

  • Provide cross departmental administrative support related to the Housing Accelerator Funds (HAF) deliverables that includes scheduling meetings, coordinating logistics, creating agendas, and recording accurate minutes to facilitate productive discussions and decisionmaking processes
  • Lead cross departmental administrative work including assisting with file management, making travel arrangements, and performing other duties as required to support departments related to HAF implementation
  • Collaborate closely with the Housing Team Leader and other departments to support the overall objectives of the Housing Accelerator Fund and contribute to the achievement of organizational goals
  • Provide responsive and professional customer service to internal and external stakeholders, addressing inquiries and requests in a timely and efficient manner
  • Track and support project contracts that include funding disbursements and invoicing
  • Assist team members with the execution of projects including managing information and compiling reports to support research needs
  • Stay abreast of industry trends, developments, and best practices related to housing administration and customer service
  • Provide documentation support for processes and procedures as needed

You Bring:


  • Certificate or diploma in Business Administration, Administrative Information Management, Office Administration, or a related field
  • APC certification and/or Canadian Certified Administration Professional (CCAP) would be an asset
  • 3 years comprehensive knowledge of key housing legislation, and experience as an administrative assistant
  • Experience managing data and information
  • Experience coordinating and executing meetings and special events
  • Experience and proficiency in managing contracts
  • Strong computer skills and thorough knowledge of Microsoft Office including Word, Excel, Outlook, and SharePoint
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fastpaced environment
  • Strong written and oral communication skills, with the ability to gather and present information
  • Ability to anticipate the needs of the customer as well as the team and take appropriate action
  • Exceptional customer service skills and an innate desire to assist others
  • Dependability and initiativetaking, with demonstrated resourcefulness and effective problemsolving skills
  • Demonstrates reliability and adaptability to changing needs and priorities
  • Ability to quickly learn new processes, software, and platforms
  • Ability to quickly align with shifting priorities, work assignments and timelines
  • High degree of confidentiality, professionalism, positivity and enthusiasm
  • Ability to be a positive influence in a teamsetting
