Primary Purpose:


In addition to providing excellent customer service support to students, the Enrolment Services Officer is accountable to the Registrar for providing accurate information related to all policies and procedures related to Enrolment Services and maintaining the privacy and security of student information.


Responsibilities:


  • Facilitates student's registration and enrolment each term in accordance to established policies and processes.;
  • Advises students on requirements for the courses, course sequences, program plans, approved term breaks, etc.;
  • Responds to inquiries to the Enrolment Services office and provides appropriate services in accordance to ASM policies, procedures and guidelines;
  • Maintains current, up to date and accurate data in Student Information System and monitors expiry dates and completeness of records;
  • Prepares letters for students on matters of academic progress, academic discipline and student appeals;
  • Assists with graduation processes for students including preparation of degree audits, preparation of graduation documents, updating of official files and records and organization of the Convocation ceremony;
  • Writes and prepare correspondence, reports, and other documents on behalf of the Registrar;
  • Receives and acts upon, in a timely manner, official document requests submitted by students;
  • Maintains and organizes electronic and hard copy records and files for students;
  • Final archiving of copies of student's official transcripts and diplomas;
  • Supports student success and retention initiatives;
  • Refers students to the appropriate faculty and staff or academic counselling or for pursuit of appeals or complaints;
  • Assists in orientation, arrival and registration of new students;
  • Assists with student admissions as required;
  • Supports transfer credit evaluation process;
  • Monitors records on student payments, payment plans and follows up with students as required;
  • Process student payments related to tuition and other fees;
  • Assists with the collection and maintenance of statistics for planning and reporting purposes (internal, external and government);
  • Serves on committees as required;
  • Other duties as may be required.

Qualifications, Experience & Technical Skills:


  • Minimum of a bachelor level degree (required)
  • Experience in administrative support preferably in a postsecondary Institution;
  • Experience preparing and maintaining student records;
  • Experience with electronic student information system and database management;
  • Experience of registration management process from recruitment through admission to graduation, including transfer credits, prerequisites, and academic standing;
  • Knowledge of the postsecondary degree enrolments and grade reporting requirements
