In accordance with the Administrative and Professional Officer Agreement, this full time continuing position offers a comprehensive benefits package found at Faculty & Staff Benefits and annual salary range of $69,627 $116,043.

Position summary


Reporting to the Chief of Staff, the position provides planning, monitoring, and managing of specific initiatives and projects at the portfolio level from initiation through completion.

In conjunction with the Chief of Staff, prioritizes multiple portfolio initiatives with competing completion dates.


The position is also accountable for efficient and effective administrative support systems for the planning, management and analyses of the Vice President (Research and Innovation) portfolio's finances, human resources, space, policies and other administrative activities.

Playing an integral part in the portfolio's strategic planning and management process, the position ensures that critical financial, human resource and physical space issues are anticipated, identified and addressed.

In consultation with the Chief of Staff and senior portfolio leaders, the position helps direct the activities of the portfolio by advising and playing a key role in the preparation, implementation and management of major portfolio initiatives.

This position understands, fulfills, and promotes the health, safety and environment responsibilities identified in university policy.

Duties

  • Assists the Chief of Staff with the administration, coordination and management of the Office of the Vice-President. The position will build office supports, systems and processes directly and through subordinate positions that ensure the continuing effectiveness of the Vice
  • President's administrative functions
  • In consultation with the Chief of Staff, conducts, directs, designs and implements the long term business planning process for the Office of the Vice-President.
  • In collaboration with the Chief of Staff, supports the Finance Partner in overseeing the management of the financial administration and budget for the portfolio. This includes budget allocations and expenditures for the Vice-President's Office, and the various units within the portfolio.
  • In collaboration with the Chief of Staff, supports the Human Resources Partner in overseeing the human resources management within the portfolio. This includes the design and implementation of the organizational and work structure of the Office of the Vice-President.
  • Plans, develops and creates the required administrative systems for the Office of the Vice-President, including the work processes and workflow.
  • In consultation with the Chief of Staff, provides administrative support to the portfolio's Senior Leadership Team.
  • Oversees and manages internal strategic initiatives in the portfolio.
  • Develops and revises policies and procedures related to the mandate of the portfolio; implements and monitors relevant policies and procedures.
  • Keeps current on research and trends in the area of project management and in the work of the portfolio.
  • Uses personal credibility and reputation to encourage portfolio leaders to follow advice and counsel. When faced with differing views, presents thoughtful, factbased counterarguments.
  • Uses networks and partnerships to promote and create new initiatives, moves portfolio goals forward, identifies opportunities, gathers information and seeks input.
