Reporting to the Property Manager, the Property Administrator will be responsible for providing accurate and timely administrative/accounting support and customer service to our clients (tenants).


Responsibilities

  • Provide support to the Property Manager for all aspects of daytoday activities for the assigned buildings within the portfolio.
  • Coordinate all building tenant communications, maintain building websites and all tenant and building manuals.
  • Monitor QuadReal Connect for incoming service requests to ensure prompt, quality responses and escalation, if required. Facilitate amenity booking requests and drive tenant engagement through the QuadReal Plus app.
  • Assist Marketing in coordinating all building/tenant events, tenant services and staff functions.
  • Prepare and distribute letters to tenants for rental charges, arrears, welcome packages, and yearend recoveries.
  • Read and understand leases to ensure accurate information is received and maintained, including security deposits, insurance certificates and prepaid rent.
  • Assist with the administration and tracking of tenant moveins and moveouts, prepare vacancy reports.
  • Assist with preparation and administration of service contract documentation, construction agreements, site inspections, environmental reviews, health and safety audits, etc.
  • Assist Manager of Security & Life Safety to organize regional Operations staff training, fire & life safety training and update and maintain Fire Warden Manuals for downtown Vancouver portfolio.
  • Assist with BOMA Best certifications and award submissions.
  • Assist with preparation of the monthly reports and processes, as required.
  • Assist with the preparation of the annual budget and budget tracking, as required.
  • Embrace and proactively support the QuadReal Values, working collaboratively with all team members.
  • Other duties as assigned.

Experience and Qualifications

  • High school diploma supplemented with some postsecondary in business, real estate, or accounting
  • 2 years of experience in property management and/or real estate property accounting role, or 4 + years experience in an administrative role with a desire to work in the real estate industry
  • Proficient with principles of accounting ideally with 2 years' accounts receivable/payable handson experience
  • Valid Driver's License
  • Proficient in Microsoft Office
  • Excellent written and oral communication skills
  • Ability to develop and sustain cooperative working relationships
  • Professional phone manner; mature and selfmotivated team player with good conflictresolution skills
  • A self starter, able to allocate one's time effectively and manage tight deadlines
  • Able to work under pressure and achieve quality results
  • Able to handle multiple demands and competing priorities, and adapt to new ideas and constant change
  • An eagerness to share ideas and find opportunities to improve our property management services
  • Results oriented, detail oriented and high level of accuracy in all tasks
