SCOPE
Reporting to the Director, Residence Life, the incumbent has a major role in the daily administration of Residence Life.

They also support departmental objectives by being responsible for maintaining the department's budget and acting as the point-person for internal University policies related to financial services, HR and procurement.


PRIMARY RESPONSIBILITIES

  • Resource person regarding university budget guidelines and requirements. Liaise with Financial Services to ensure account reconciliation. Assist in the preparation of budget forecasts and annual budget loads.
  • Ensure all charges are posted by partners (Facilities, third parties, Campus Safety, etc.) in a timely manner and review these charges during monthly budget meetings with the Residence Life leadership team (Director and Managers).
  • Ensure supplies for office, common areas and summer hotel operations are maintained. Order new supplies as needed.
  • Provide general administrative support to the unit. Coordinate and maintain minutes for all team meetings and planning meetings.
  • Prepare and process all purchase orders and requisitions for the department. Remain uptodate with all procurement policies for the University, and act as the pointperson for this information to the department.
  • Monitor the process for key and access card management (in collaboration with the Operations Assistant and Admissions Coordinator) of the department which includes key replacement and billing.
  • Coordinate the IT needs of the department.
  • Act as backup for the frontline reception for residents, staff and faculty, as well as the external community.
  • Assist with the arrival and departure of residents during the academic year.
  • Perform other duties in support of the operation of the unit.

QUALIFICATIONS

  • Diploma of Collegial Studies (3year technical DEC) in accounting, finance, administration or a related field and two to four years of related administrative and budget/accounting work experience
  • Good knowledge (Level 4) of spoken and written English in order to communicate effectively with clientele and to draft correspondence, documentation and reports; basic knowledge (Level 3) of spoken and written French.
  • Good knowledge (Intermediate level) of Word and Excel.
  • General knowledge of accounting and procurement policies and procedures.
  • Excellent interpersonal and communication skills with the ability to deal sensitively with individuals.
  • Excellent organizational skills in order to effectively organize work and set work priorities under time constraints.
  • Ability to multitask and work under pressure with mínimal supervision.
  • Sensitivity to students' concerns.
  • Aptitude to work in a serviceoriented environment both as member of a team and independently.


Concordia University is an English-language institution of higher learning at which the primary language of instruction and research is English.

Since this position supports academic and administrative functions of the university, proficiency in English and French, as indicated, is required.
